Appointment Access Specialist | Call Center Representative

General Summary

The Appointment Access Specialist supports patient accessibility by efficiently handling incoming calls, scheduling appointments, and assisting with patient questions and requests. This position emphasizes compassionate communication, attention to detail, and maintaining high standards of productivity and quality in a fast-paced call center environment.

Essential Duties and Responsibilities

  • Promptly answer incoming calls, document and route messages accurately.
  • Assist patients with scheduling and provide clear, compassionate information.
  • Represent the organization professionally through phone, electronic, and written communication.
  • Maintain accurate patient records and documentation in electronic systems to support continuity of care.
  • Interpret and communicate detailed information to ensure precise scheduling and follow-up.
  • Resolve patient concerns by identifying needs, offering solutions, and escalating issues when necessary.
  • Utilize de-escalation and service recovery techniques to support distressed callers and maintain satisfaction.
  • Contribute to call center performance goals and participate in ongoing training while ensuring confidentiality and HIPAA compliance.

Education

High school diploma or GED required. Post-secondary education in healthcare or related fields is preferred.

Experience

Customer service experience is required, with at least two years preferred in a call center or medical office setting.

Mental/Physical Requirements

Ability to sit for extended periods and use telephone and computer workstations. Strong oral and written communication skills to comprehend and convey detailed information.

Working Conditions

Typical call center environment with frequent interaction with patients, providers, and clinical/support staff. Work involves managing a moderate to high volume of calls with frequent distractions and prolonged sitting.
