Job Description

The Field Coordinator supports project delivery by tracking project progress, updating schedules, assembling and auditing project completion packages, and preparing invoices and billing documentation. This role serves as a key communication link between customers, project managers, project planners, superintendents, and internal teams to ensure accurate documentation, timely billing, and smooth project start-up and close-out activities.

Responsibilities

• Track project progress from start-up through completion and provide timely updates to all stakeholders for job start-ups and invoicing.
• Update project schedules regularly to reflect current status, milestones, and changes.
• Assemble, audit, and maintain project completion packages to ensure all required documentation is accurate, complete, and properly organized.
• Prepare invoices and compile billing documentation for submission to the billing team.
• Communicate effectively with customers, project managers, project planners, superintendents, and other internal teams to coordinate project activities and resolve documentation or scheduling issues.
• Enter hours from project planners and construction crews into Smartsheet with a high level of accuracy and attention to detail.
• Create field project binders for construction crews, including all required project-related forms and documentation.
• Perform data entry in multiple systems and programs, including Smartsheet, Sage, Microsoft applications, and the companys server.
• File and organize electronic and hard copy documents to support efficient retrieval and record retention.
• Document project information and maintain retention of records on the server and in hard copy formats in accordance with internal procedures.
• Prioritize and manage a wide range of responsibilities simultaneously while maintaining accuracy and meeting deadlines.
• Work independently in a proactive manner to support team objectives and ensure project documentation and billing processes run smoothly.

• Strong oral and written communication skills for interacting with customers, project managers, project planners, superintendents, and other staff members.
• High level of professionalism, demonstrating tact, courtesy, and discretion when working with clients and colleagues.
• Experience supporting construction or project management environments.
• Accurate data entry skills with strong attention to detail.
• Ability to use Smartsheet for tracking project hours and information.
• Ability to work with Sage and Microsoft applications for data entry and documentation management.
• Comfort working with server-based file storage and retrieval systems.

Additional Skills & Qualifications

• Experience assembling and auditing project completion packages.
• Experience in construction, project management, or related field coordination roles.
• Familiarity with billing processes and invoice preparation.
• Experience creating and maintaining project binders and documentation sets for field teams.
• Strong filing and document management skills for both electronic and hard copy records.
• Ability to maintain organized documentation and retention practices in accordance with company standards.

Work Environment

This position follows an early-day schedule with a start time between 7:00 and 7:30 a.m. and a 30-minute lunch break. The role is office-based and closely connected to construction field operations, involving frequent interaction with project planners and construction crews. You will work extensively with tools such as Smartsheet, Sage, Microsoft applications, and server-based file systems to manage project documentation, data entry, and record retention. The environment emphasizes professionalism, accurate documentation, and collaborative communication to support efficient project execution.

This is a Contract to Hire position based out of Downey, CA.

The pay range for this position is $25.00 - $30.00/hr.

Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors.
