Legal Office Services Philadelphia, PA 19102 (Onsite) 12 Months Contract (temp to hire) Monday-Friday 9:00 AM 6:00 PM

Overtime as required to support business needs, litigation work, special projects, and events.

Limited local walking travel may occasionally be required to support courier, mail, package, or delivery activities.

Key Responsibilities

• Process printing, copying, scanning, and document production requests.
• Support legal document preparation and production workflows.
• Operate high-volume copiers, printers, scanners, and related equipment.
• Perform binding, finishing, cutting, punching, stapling, and other document-production tasks.
• Perform basic copier troubleshooting, clear paper jams, and report equipment issues to technicians.
• Handle incoming and outgoing mail, packages, courier deliveries, and shipping requests.
• Sort, distribute, and deliver mail and packages throughout the office.
• Perform daily office mail sweeps and service deliveries.
• Prepare shipments and verify packing slips and shipping information.
• Set up, monitor, and break down conference rooms and meeting spaces.
• Support hospitality services, including pantry maintenance, coffee service, catering support, and conference room readiness.
• Provide backup reception support and maintain a professional customer experience.
• Maintain office, print, and hospitality supply inventories.
• Assist with workstation setups, office moves, and basic facility-support activities.
• Perform scanning, file conversion, file naming, OCR, and electronic document-management tasks as needed.
• Maintain service logs, inventory records, billing logs, and other management reports.
• Handle confidential and sensitive documents with a high level of accuracy and discretion.
• Provide professional support to attorneys, legal secretaries, paralegals, associates, partners, executives, and other end users.
• Respond to customer questions regarding job status, feasibility, and service requests.
• Assist with projects completed through off-site vendors when required.
• Perform other duties as assigned.

Required:

Strong customer service and client-facing experience. Excellent written and verbal communication skills. Experience working in a professional office environment. Strong organizational and time management skills. Microsoft Office proficiency and general technology aptitude. Ability to multitask and prioritize competing requests. Ability to lift up to 25 pounds unassisted. Ability to stand, walk, and move throughout the office for most of the workday. Professional appearance and demeanor.

Preferred:

Experience in legal services, office services, hospitality, facilities, records management, mailroom operations, document production, or workplace experience roles. Experience supporting attorneys, executives, or professional services environments. Experience with conference room management, mail/package handling, print production, or reception support.

Provide backup reception coverage. Maintain office and hospitality supply inventories. Assist with workstation setups, office moves, and basic facility support.
