Job Description

Summary Of Responsibilities

The Human Resources Assistant reports to the Director of Administration and Finance and is responsible for: Coordinating Human Resources procedures from appointment through separation by performing duties personally or through collaboration with department staff. Assisting and supporting workforce budget, planning and recruitment efforts through the development, refinement, posting, and tracking of employment opportunities and position descriptions. Assisting and providing backup support to the Payroll Accountant. Assisting the Director of Administration and Finance with Human Resources, position control, payroll, and administrative functions as needed. Maintaining strict confidentiality of all employee, applicant, student, medical, personnel, payroll, labor relations, and other sensitive information in accordance with district policies, collective bargaining agreements, and applicable state and federal laws. Exercising sound judgment and discretion in the handling, storage, and communication of confidential information.

Job Requirements
  • Education / Degree Required/Preferred Such as may be gained through graduation from a senior high school or equivalent (GED), including or supplemented by business course work, keyboarding and computer software application. Business college graduate preferred. Previous bookkeeping, public school business offices, Accounting, Tax and/or payroll experience preferred. Experience Required/Preferred Ten or more years experience in Rhode Island K-12 public school business offices preferred, preferably with a broad range of experience including familiarity with the following: Human Resources / Position Control / Payroll, Accounts Payable / Accounts Receivable, State / federal grant reporting, Budget management The ability to make accurate tabulations and computations; the ability to understand readily and carry out directions, both oral and written; highly accurate; meet or exceed minimum standards set in regards to applicant testing; Works independently with minimum supervision; previous hands on experience with computerized school accounting systems, The ability of organize, assemble and control the data required to process payrolls and onboarding / off-boarding employees, and the ability to perform duties with an awareness of all school department requirements and policies; Must be familiar with applicable software applications, specifically those involving spreadsheets and statistical programs preferred; the ability to communicate clearly and concisely, both verbally and in writing; Demonstrated ability to develop effective working relationships with staff and the public; must be able to handle confidential data and material with utmost discretion; Should be familiar with office equipment to include, but not limited to: Scanner, fax machine, computer, calculator, telephone and photocopier. Experience with Microsoft Office and Google Suite. Qualification Requirements: To perform this job successfully, an individual must be able to perform each of the above noted essential duties satisfactorily. Communication Skills: Ability to communicate effectively with peers, parents, educators, and administrators. Strong written and verbal skills for documentation, reports, and collaboration. Sensitivity to the diverse needs of employees, students and families. Planning Skills: Ability to prioritize caseloads, manage time efficiently, and meet deadlines. Strong organizational skills to coordinate workload schedules. Interpersonal and Problem-Solving Skills: Ability to build positive relationships with peers, counterparts in state agencies, and school staff. Maintain confidentiality on all employee-related matters.
