Unit Coordinator, M7W, Per Diem

$19.35 - $26.04 per hour

Position Summary Responsible for the overall clerical functions of the nursing station/front desk. Working collaboratively with the clinical team, the Unit Coordinator participates in delivery of patient care by providing a variety of clerical, customer relations, and support services to patients, their families/visitors, and healthcare team members. Location: M7W Schedule: Per Diem Essential Responsibilities / Duties Care of the Patient and Family/Visitors: greets and directs patients, families, visitors and staff in a courteous, friendly manner; identifies self, provides non‑clinical information, and maintains professional interaction. Coordinates front‑desk activities, performs clerical duties, answers telephone calls and inquiries, and replies to BMC e‑mail during shift. Checks voice messages, logs in/out of the pulmonary function test (PFT) extension when required, and processes messages during shift. Uses manual/computer programs for data entry, prints reports, faxes, orders items, schedules appointments, and verifies patient information. Answers patient call lights promptly, follows up on requests, and ensures nursing staff response. Maintains communication data, including computer, charge/white boards, daily communication sheets, assignment sheets, room name tags, and precaution labels. Distributes welcome letters and informational packets to orient patients to room, call light, telephone, and unit. Initiates daily RN phone assignment, logs RN phone numbers, and demonstrates procedures to triage calls through the patient call system. Secures patients' personal property and belongings, maintains belongings list, and files lists after discharge. Monitors healthcare computer systems for new discharge orders, prints summaries, places summaries in chart, schedules clinic appointments before discharge, and documents requirements. Distributes mail, flowers, gifts, and facilitates access to cafeteria, chapel, gift shop, parking, and cashier. Identifies emergency situations and initiates appropriate response actions per scope of role; familiar with unit disaster plan. Coordinates transportation appointments for patients and related materials, using computer software for data entry. Interfaces among various departments to ensure patients, families, visitors, and staff receive needed services and information. Takes initiative to resolve discrepancies, refers issues to appropriate team members, and performs office functions such as photocopying and faxing. Coordinated unit communications, including placing text pages to physicians or appropriate staff, and calling family/next of kin. May assist in patient admission, discharge, and transfer processes by obtaining pre‑approvals, verifying demographics, completing free‑care applications, and creating medical records. Medical Record and Order Entry Prepares charts and labels on admission, places clinical pathways, and files results and treatment documents timely. Label precaution charts and maintains supply of precaution signs for patient rooms. Retrieves and enters computerized and non‑computerized data, communicates findings, and maintains statistics for PFT Lab and Bronchoscopy areas. Schedules and books patient appointments, follows approved scheduling policy, prints and faxes appointment info. Checks chart completeness, ensures pathway sheets are present, obtains discharge summaries with barcode labeling, and recopies/replenishes chart forms. Transcribes patient care orders accurately and promptly. Collaborates with the healthcare team to schedule necessary pre‑test/procedure preparations and minimize patient travel. Communicates test/procedure/therapy schedules and changes to patients, families, primary care providers, consultants, and staff. Maintains manual/computer logs, unit databases such as diet list, census sheets, supply log, and patient board, updating physician coverage, pager numbers, and RN names. Ensures database has a current Downtime Materials Box, replenishes when necessary, and is proficient in downtime procedures. Care of the Environment, Equipment and Material Supplies Conducts daily rounds to ensure a safe and clean environment; coordinates cleaning, transportation, and safety issues. Initiates work/repair orders, logs issues to ITS rounder or help desk, arranges delivery of expired/broken equipment, and tracks returned items. Logs/completes daily patient charges/billing, uses appropriate billing codes, and verifies completeness and accuracy. Maintains inventories, orders and restocks supplies to par levels, verifies receipt, and orders additional supplies online as needed. Participates in searches for missing patients, belongings, and equipment. Troubleshoots basic office equipment, reboots computers, loads printers, and manages fax machines and addressographs. Work Rules, Standards, and Competency Compliance Conforms to hospital universal standards, patient rights, and BMC Standards of Behavior; resolves conflicts and seeks supervisor assistance when needed. Seeks constructive feedback and works toward goals identified during performance evaluations. Participates in staff meetings, departmental/ unit initiatives, quality improvement projects, and committee meetings; reviews minutes if absent. Complies with practice standards, policies, procedures, protocols, and regulations such as DPH, Joint Commission, Fire Codes, and OSHA. Follows Conduct, Attendance, Safety, and Infectious Control policies; remains consistently available on the unit. Participates in ongoing education to maintain competency, keeps an accurate annual educational record, and completes mandatory requirements. Maintains a presentable appearance per dress code, wears assigned uniform, and displays a visible hospital ID badge identifying self as Unit Coordinator. Assists in orientation of new staff and serves as a resource for floating staff. Adapts to changing patient and unit needs, offers assistance, floats, adjusts assignments, and runs errands as required. Collaborates with charge nurse/supervisor to coordinate break periods with unit activities. Demonstrates reliability regarding work rules and policies such as hours, attendance, punctuality, and uniform standards. Utilizes hospital cultural beliefs to support the mission and goals. Follows hospital infection control and safety procedures. Other Duties Performs other duties as needed. Job Requirements Education: High school diploma or GED. Certificates, Licenses, Registrations Required: Must complete competency requirements as offered. Experience: One to two years of previous clerical experience; healthcare setting preferred. Knowledge and Skills: Competent in speaking, reading, and writing English; multilingual skills preferred. Accurately interprets and uses medical terminology and abbreviations. Proficient with computer software systems, including Microsoft Office (Word, Excel, Outlook) and hospital-wide systems such as SEM, IDX, SDK. Ability to use and troubleshoot basic office equipment. Excellent interpersonal skills for interacting with nursing staff, patients, families/visitors, physicians, and other hospital staff. Organizational skills to prioritize and complete assigned work efficiently. Basic administrative skills such as typing, filing, and telephone use.
