Summary The Chief of Staff is a vital contributor and partner to the CEO of the Tenby family of companies including Tenby Partners (development), Tenby Construction and Colliers. The Chief of Staff is responsible for turning the CEO's priorities into action across active development deals, day-to-day operations, and longer-term strategic initiatives. Essential job duties include, but are not limited to: Track the full pipeline of acquisition, entitlement, development and construction projects, flagging risks, delays, and decision points before they reach the CEO as surprises. Coordinate the flow of information among the CEO, project managers, architects, general contractors, brokers, attorneys, and lenders so decisions move at the pace each deal requires. Prepare and organize due diligence packages, deal memos, underwriting summaries, and closing checklists, and make sure nothing falls through the cracks between teams and outside parties. Attend project meetings, site walks, and closings on the CEO's behalf when needed, capturing action items and driving them to completion. Request project updates from Development, Construction, Shared Services, and other responsible internal team members. Identify blockers, risks, gaps, delays, and decision points that may affect development project execution. Facilitate cross-functional meetings, including the weekly Monday pipeline huddle. Maintain a database of active deals and projects – status, next milestones, open issues – and brief the CEO on it on a regular cadence. Serve as a thought partner to the CEO on company strategy, market positioning, and growth decisions – new markets, product types, or capital structure. Draft and review correspondence, reports, and presentations on the CEO's behalf. Act as a trusted sounding board and gatekeeper, helping prioritize what reaches the CEO's desk. Ensure clear, timely communication of decisions and priorities across the organization. Work closely with Administrative Assistant to maximize CEO's efficiency and protect time with scheduling and calendar blocking. Manage special projects within different organizations and realms of CEO's responsibilities, up to and including philanthropic, civic and personal priorities. Ideal Qualifications and Skills: Bachelor's degree in business, finance or real estate preferred. Minimum of five years of experience working closely with C-Suite executives or within real estate. High level of proficiency in Microsoft Office suite and project management tools. Strong interpersonal and communication skills, with the ability to collaborate across multiple teams. Results-oriented with a keen ability to prioritize, manage time effectively, and handle multiple projects simultaneously. Ability to manage project scope, budgets, and schedules while ensuring the highest quality standards. Self-starter mentality with the drive to take ownership of projects and see them through to successful completion. Experience with industrial property type is a plus, but not mandatory. Comfortable moving between granular execution (chasing down a permit status, organizing a closing checklist) and higher-level strategic thinking (evaluating an opportunity), often within the same day.
