This role ensures that all office functions, records, staffing processes, and support services align with Medicare, Title 22, ACHC, and agency policies. Assists with direct patient expenditures coordination, employee time sheets, personnel records and billing liaison, while supporting clinical leadership in delivering high-quality patient care. Reporting Relationship: President/COO Scope of Supervision: Supervises all Non-Clinical Office Staff with oversight of administrative workflows supporting clinical teams. Responsibilities:

1. Manage general office operations, including mail processing, supply and equipment inventory, and administrative support functions (data entry, document preparation, record maintenance).
2. Oversee daily administrative operations to ensure efficient, compliant, and effective department performance, including staffing coordination, scheduling support, and operational readiness.
3. Tracks admission, discharge, case conferences, certification and re-certification dates on all patients.
4. Responsible for informing staff of any changes, updates, etc., regarding admissions, discharges, visits, schedules, and clinical meetings.
5. Facilitate communication of patient status, scheduling updates, and operational changes while ensuring professional handling of calls, visitors, and office correspondence.
6. Serve as the primary liaison between leadership, clinical teams, billing, referral sources, and external partners to ensure seamless communication and coordination of care.
7. Develop, implement, and continuously improve administrative systems, workflows, and processes to enhance operational efficiency and service delivery.
8. Supervise, train, mentor, and evaluate administrative staff, including managing timekeeping, personnel records, onboarding/offboarding, and fostering a culture of accountability and continuous improvement.
9. Collaborate with the clinical team, billing and leadership to ensure accurate data entry, timely submissions, revenue cycle support, and awareness of budget and cost controls.
10. Support coordination of patient care services, including intake, admission processes, payer requirements, and transitions to home care in collaboration with clinical teams and providers.
11. Identify opportunities for service expansion, operational enhancements, and patient satisfaction improvements

Minimum Qualifications: Strong knowledge of home health operations, home infusion operations and regulatory requirements (Medicare, Title 22 preferred) Effective interpersonal, time management, and organizational skills. Strong problem-solving abilities and attention to detail. Excellent communication, leadership, and customer service skills. Present strong written, verbal, and interpersonal communication skills. Education and/or Experience: Minimum of a High school diploma or GED preferred. Bachelor’s degree in health care, preferred. Minimum 10+ years in home health, healthcare administration, or similar setting Computer skills that include word processing, and efficient use of the internet and e-mail.
