IT Asset Management Specialist

Job Summary:

The IT Asset Management Specialist is responsible for overseeing the complete lifecycle of technology assets within the agency. This role ensures accurate receipt, tracking, maintenance, auditing, and disposal of IT equipment in compliance with state policies, federal guidelines, and internal controls. The specialist supports operational accountability, inventory accuracy, and financial stewardship of IT resources. Responsibilities:

• Receive and verify incoming IT equipment shipments, documenting all assets.
• Assign and apply asset tags for proper identification and classification.
• Maintain detailed and accurate inventory records including location, status, ownership, and lifecycle data.
• Track equipment movement using formal chain-of-possession and chain-of-custody procedures.
• Conduct periodic physical inventory audits and reconcile discrepancies with thorough investigation and documentation.
• Prepare audit documentation and compliance reports for internal and external reviews.
• Support all phases of the asset lifecycle including deployment, transfers, repairs, returns, surplus processing, and disposal.
• Ensure surplus and disposal activities comply with state regulations, environmental standards, and data security requirements.
• Maintain organized and secure storage areas for IT assets.
• Collaborate with procurement, finance, security, and IT teams to ensure inventory accuracy and compliance.
• Assist in developing and improving asset management policies and procedures.
• Respond to asset management inquiries and provide operational reporting and process improvement recommendations.

Required Skills & Certifications:

• Strong attention to detail with ability to maintain accurate and complete records.
• Knowledge of IT hardware including computers, peripherals, networking equipment, and mobile devices.
• Experience with asset tagging, inventory management systems, and barcode/RFID technologies.
• Ability to investigate and reconcile inventory discrepancies.
• Understanding of chain-of-custody and chain-of-possession protocols.
• Ability to prepare and maintain audit-ready documentation.
• Strong organizational skills and ability to maintain orderly storage environments.
• Analytical thinking and problem-solving abilities.
• Ability to safely lift and move IT equipment within reasonable limits.
• Excellent written and verbal communication skills.
• Ability to work independently and collaborate effectively across multiple teams.
• Proficiency with asset management software, spreadsheets, and reporting tools.
• High school diploma or equivalent.

Preferred Skills & Certifications:

• Experience in government or public-sector IT asset management.
• Familiarity with state surplus property and disposal regulations.
• Knowledge of IT Asset Management frameworks such as ITIL, ISO/IEC 19770, or other recognized standards.
• Experience in procurement, inventory control, logistics, or related operational functions.
• Associate or bachelor's degree in Information Technology, Business Administration, Logistics, Supply Chain Management, or related field.
• 3 to 5 years of experience in IT asset management or related roles.

Special Considerations:

• Must pass a Standard Background Check package (SOALEWS - A) and HireRight screening.
• Compliance with Temporary Worker Agreement, E-Verify, and Resource Employment Status Validation forms.
• Ability to safely lift and move IT equipment and perform physical inventory counts in office, storage, and warehouse environments.
• Work is 100% onsite in Montgomery, Alabama; no remote work allowed.
• Submittals must be from prime suppliers; only one level of sub-vendor allowed if necessary.
• No sponsorship available for this role.
• Potential for conversion to merit status.

Scheduling:

• Full-time position, 40 hours per week.
• Standard business hours with no specified shift work.
• Position start date: October 1, 2026; end date: September 30, 2027.
