Front Desk Supervisor

Front Desk Supervisor Reports to the Center Operations Director or Clinical Dyad Leader and is responsible for organizing and directing front‑desk staff, coordinating schedules, ensuring quality standards, and leading the core center operations. Responsibilities Lead a team of Care Facilitators and front desk staff. Set performance goals, develop talent, and implement progressive improvements. Instill company values, build engagement, promote retention, and provide onboarding expectations. Facilitate coaching and leadership rounding for front desk team members. Execute core model procedures and adhere to the Center Playbook. Promote patient flow efficiency and share desired outcomes with the team. Maintain a focus on patient retention and positive customer experience. Adhere to enterprise scheduling templates; ensure 100% of patients are scheduled, including high‑risk patients. Partner with growth teams to complete THV‑EE and CMAP scheduling. Serve as primary contributor in hiring and selecting front desk staff. Act as front desk ambassador: assist patients, manage vehicle access, open doors, and provide updates. Ensure OSHA, clinical, and quality standards are met and implement corrective action plans. Resolve escalated patient issues, support PCP scheduling, and close scheduling gaps. Review notifications and ensure follow‑up from Care Teams. Examine medical release forms for accuracy and sign‑off. Maintain e‑fax, phone messages, and after‑hours records in the patient’s medical record. Troubleshoot dashboard, phone, and computer issues. Order office supplies and maintain inventory. Fill in for Care Facilitators and cover front desk tasks as needed. Support the VIP patient experience, new patient paperwork, and tours. Perform other duties as assigned. Qualifications Strong business acumen and operational knowledge. Understanding of regulatory standards and local, state, and federal laws. Excellent critical reasoning, decision‑making, and problem‑solving skills. Strong organizational skills and attention to detail. Leadership, training, written and verbal communication, and presentation skills. Proficient in Microsoft Office Suite and basic IT systems. Professional and courteous communication with employees, patients, and others. Willingness to travel locally, regionally, and nationally up to 10% of the time. Fluent in English (spoken and written). Education and Experience High school diploma or GED equivalent required. Minimum of 3 years’ experience in a medical facility. BLS for Healthcare Providers certification desired. Some college coursework preferred. Ability to lead and coach teams to drive positive outcomes and excellence. Pay Range Hourly base: $20.20 – $28.83. Final compensation will depend on experience, education, geographic location, and other factors. The position may also be eligible for bonuses or commissions.
