Collateral Management Specialist

Job Title: Collateral Management Specialist Department: Collateral Management Reports To: Collateral Manager FLSA Status: Non-Exempt Position Summary: Provides administrative support needed to manage the receipt, tracking, follow‑up, recording, and storage of collateral documents. Also assists in researching and obtaining missing collateral documents. Essential Duties and Responsibilities include the following. Other duties may be assigned. Coordinate obtaining, tracking, follow‑up, and storage of collateral documents. Assist with researching issues regarding collateral files and documents. Inventory documents in collateral files. Image collateral documents as received. Obtain signatures, prepare, submit for recording as applicable, and track documents as needed. Post closing legal / compliance review and exception clearing per investor requirements. Provide support to peers/managers within the corporation relative to collateral documents as needed. Provide internal and external support to investor community and all major agencies. Work incoming document queues to identify documents for indexing. Assist with letter campaigns. Assist with department special projects. Assist manager in identifying and implementing long‑term projects and process / procedure improvements to ensure timely and accurate reporting. Represent the organization in internal and external cross‑functional relationships between other departments. Education/Experience: Requires a high school diploma or GED; a college degree is preferred but not required. 2+ years of mortgage banking experience. Strong problem‑resolution skills, analytical, organized, detail oriented, and capable of meeting multiple deadlines. Self‑starter with strong verbal and written communication skills and a team‑oriented mindset. Knowledge of mortgage loan documentation, exception clearing, and reviewing a title search in relation to the chain of title for note endorsements and assignments. Language Ability: Ability to read, interpret, and write routine reports and correspondence. Ability to speak effectively before groups of customers or employees. Reasoning Ability: Ability to solve practical problems and handle a variety of variables in situations with limited standardization. Ability to interpret written, oral, diagram, or schedule instructions and apply critical thinking skills. Computer Skills: Proficiency with word processing software, electronic mail, spreadsheets, internet software, and data review analytics. Certificates and Licenses: No certifications needed. Supervisory Responsibilities: No supervisory responsibilities. Work Environment: Typical moderate noise level.
