Surgical Scheduling Coordinator

Schedule: Full-Time | Day Shift | Monday–Friday | 8:00 AM – 5:00 PM

Position Overview

Seeking an experienced Surgical Scheduling Coordinator to support a fast-paced Orthopedics & Sports Medicine practice. This role is responsible for coordinating all aspects of workers’ compensation surgical scheduling , including authorizations, insurance verification, pre-operative clearances, and communication between patients, physicians, case managers, and ancillary departments.

The ideal candidate will have prior workers’ compensation experience, strong knowledge of Epic EMR, and the ability to manage complex scheduling workflows while delivering exceptional patient service.

Essential Responsibilities for a Surgical Scheduling Coordinator

• Coordinate all workers’ compensation surgical scheduling, including pre-op and post-op appointments
• Verify insurance coverage and obtain required surgery authorizations and health clearances
• Schedule and confirm completion of all pre-operative studies and testing
• Coordinate operating room scheduling and physician-specific surgical requirements
• Serve as the primary point of contact for patients throughout the surgical process
• Educate patients regarding surgical procedures, risks, benefits, and required pre-op classes as directed by the physician
• Communicate with physicians, clinical staff, adjusters, case managers, and external departments to ensure continuity of care
• Manage referrals, physician correspondence, calendars, forms, and authorization requests
• Prepare patient charts and update demographic and insurance information accurately
• Collaborate with billing teams regarding audits, surgical reports, and charge reconciliation
• Coordinate special equipment requests needed for surgical procedures
• Provide concierge-style support to patients and patient designees before, during, and after surgery
• Address patient concerns and escalate issues appropriately when necessary
• Provide administrative or clinical support based on operational needs

Required Qualifications for a Surgical Scheduling Coordinator

• High School Diploma or GED (no exceptions)
• Minimum of 2 years of workers’ compensation claims or coordination experience
• Experience using Epic EMR
• Strong organizational, communication, and multitasking skills
• Ability to work effectively in a fast-paced healthcare environment

Preferred Qualifications for a Surgical Scheduling Coordinator

• Previous experience as a Patient Service Representative (PSR) or Medical Assistant (MA)
• Orthopedic or sports medicine experience preferred
