【Summary】 This Company is establishing and expanding its U.S. business in the sourcing, wholesale, and distribution of prescription pharmaceutical products, over-the-counter (OTC) drugs, dietary supplements, and related consumer-health products. The IT Specialist is responsible for ensuring that the Company’s U.S. information-technology environment is stable, secure, efficient, and aligned with Company requirements and the Hong Kong parent company’s IT standards and initiatives. This hands‑on role provides day‑to‑day user support and manages the setup, maintenance, troubleshooting, documentation, and improvement of office technology, network connectivity, telecommunications, business applications, user devices, access controls, and IT assets. The IT Specialist will serve as the principal onsite IT resource for the U.S. operation and will coordinate closely with the Hong Kong parent‑company IT team and qualified outside vendors to support secure and reliable business operations. 【Key Responsibility】 End-User Support Provide timely first-line and second-line technical support to employees for computers, laptops, mobile devices, printers, scanners, telephones, email, collaboration tools, remote access, network connectivity, and business applications. Diagnose, troubleshoot, document, and resolve hardware, software, access, printing, connectivity, and user-account issues. Provide practical user guidance and basic training on Company systems, cybersecurity practices, collaboration tools, file storage, device use, and remote-working procedures. Maintain an organized IT support log or ticket record, prioritize urgent issues, communicate status clearly, and elevate matters that require vendor or headquarters assistance. Support executives and employees with meeting-room technology, video conferencing, presentations, Zoom, Microsoft Teams, and related communication tools. IT Infrastructure and Devices Set up, configure, deploy, maintain, and replace desktops, laptops, monitors, printers, scanners, mobile devices, phones, accessories, and other office technology. Support and maintain office network infrastructure, including internet connections, Wi‑Fi, routers, switches, firewalls, VPN access, printers, and basic telecommunications equipment. Coordinate with internet service providers, telephone providers, managed-service providers, equipment suppliers, and other outside vendors to resolve service issues and implement improvements. Monitor the reliability, capacity, and performance of core office technology and recommend upgrades, replacements, or improvements when needed. Support office expansion, employee moves, new workstations, meeting rooms, and other technology requirements as the U.S. business grows. Ensure equipment is properly configured, labeled, assigned, stored, maintained, and disposed of in accordance with Company policies. Systems, Accounts, and Applications Administer or support user accounts, access permissions, email, shared mailboxes, file-sharing platforms, collaboration tools, calendars, remote-access tools and other business applications, within assigned authority. Support Microsoft 365 or equivalent productivity, email, document-management, file-storage, and collaboration platforms. Install, update, configure, test, and support approved software applications and operating-system updates. Assist with deployment and support of business systems used for purchasing, inventory, documentation, financial administration, customer management, reporting, and other operational needs. Coordinate system access and technical requirements with the Hong Kong parent company and ensure local systems remain compatible with applicable group standards. Support employee onboarding by preparing equipment, provisioning approved accounts and access, configuring applications, and providing basic system orientation. Support employee offboarding by disabling access promptly, recovering Company equipment, securing data, and maintaining accurate records. Cybersecurity, Data Protection, and Compliance Implement and maintain Company and parent-company IT policies, cybersecurity requirements, password standards, multi-factor authentication, endpoint-protection measures, software-update procedures, backup practices, and access-control requirements. Help protect Company, employee, supplier, customer, purchasing, operational, and other confidential business information from unauthorized access, loss, misuse, or disclosure. Monitor antivirus, endpoint security, device patching, software updates, account activity, backups, and other assigned security controls; promptly elevate suspected security incidents. Assist in the investigation, containment, documentation, and coordination of cybersecurity incidents, phishing attempts, data-loss events, system outages, unauthorized-access concerns, and device-loss incidents. Coordinate with the Hong Kong parent-company IT team and external specialists on security assessments, system hardening, incident response, backups, disaster recovery, and policy implementation. Support compliance with applicable Company requirements related to confidentiality, data protection, record retention, system access, and business continuity. Promote cybersecurity awareness among employees, including secure password practices, phishing awareness, appropriate use of Company devices, and protection of confidential information. IT Asset Management and Documentation Maintain accurate IT asset records for Company-owned equipment, including asset tags, serial numbers, assigned user, location, purchase date, warranty status, condition, and return status. Maintain records for software licenses, subscriptions, user access, vendor contacts, service contracts, internet and telephone accounts, network configurations, and support documentation. Prepare and maintain clear IT procedures, user guides, system inventories, onboarding/offboarding checklists, vendor-contact lists, and basic business-continuity documentation. Track IT expenditures, renewal dates, warranties, vendor invoices, subscriptions, and replacement requirements; provide recommendations to management for budgeting and cost control. Assist management in evaluating IT vendors, hardware, software, cybersecurity services, telecommunications services, and other technology solutions. Coordination and Continuous Improvement Act as the primary U.S. IT contact for the Hong Kong parent-company IT team, ensuring timely communication and implementation of group IT initiatives, standards, policies, and technical projects. Coordinate and supervise external IT vendors and service providers, including documenting issues, monitoring service quality, verifying completed work, and escalating unresolved matters. Identify recurring IT issues, operational inefficiencies, cybersecurity risks, and opportunities to improve reliability, security, user experience, and cost effectiveness. Provide regular reports to the Director / General Manager on open issues, IT assets, system performance, security matters, vendor activities, projects, and recommended improvements. Perform other IT, systems, office-technology, and business-support duties reasonably assigned by the Director / General Manager. Required Qualifications Associate degree, bachelor’s degree, technical diploma, recognized IT certification, or equivalent practical experience in information technology, computer science, systems administration, networking, cybersecurity, or a related field. At least two years of hands‑on IT support, help‑desk, desktop‑support, systems‑support, network‑support, or IT‑administration experience. Demonstrated ability to troubleshoot Windows computers, laptops, printers, networks, Wi‑Fi, email, user accounts, software applications, and common office technology. Working knowledge of Microsoft 365 or equivalent business productivity and collaboration platforms, including Outlook, Teams, OneDrive, SharePoint, and user‑access administration. Familiarity with Windows operating systems, basic macOS support, endpoint protection, antivirus tools, software updates, password management, multi‑factor authentication, remote access, and backup concepts. Basic practical understanding of networking concepts, including internet connections, Wi‑Fi, routers, switches, IP addressing, VPNs, DNS, and firewall coordination. Experience supporting mobile devices, printers, scanners, video‑conferencing systems, and office telecommunications is preferred. Ability to communicate technical matters clearly and patiently to non‑technical users. Strong organizational skills, attention to detail, reliability, and ability to manage multiple priorities in a growing business environment. Strong written and verbal English communication skills. Ability to work independently while coordinating effectively with management, the Hong Kong parent-company IT team, employees, and outside vendors. Ability to handle confidential information responsibly and follow Company security, privacy, and access‑control requirements. Authorization to work in the United States and ability to work onsite in New Jersey as required. Preferred Qualifications Experience supporting a small or medium-sized business, startup office, logistics operation, wholesale distributor, healthcare‑products company, pharmaceutical business, or regulated business environment. Experience with Microsoft Intune, Microsoft Entra ID / Azure Active Directory, Microsoft Defender, endpoint‑management tools, mobile‑device management, or similar cloud‑based IT administration tools. Familiarity with network firewalls, business Wi‑Fi systems, VPN configuration, VoIP telephone systems, security cameras, access‑control systems, and managed IT‑service‑provider coordination. IT certifications such as CompTIA A+, Network+, Security+, Microsoft, Cisco, Apple, ITIL, or equivalent credentials. Experience with ERP, inventory‑management, accounting, CRM, document‑management, procurement, warehouse, or business‑reporting systems. Experience implementing IT policies, cybersecurity awareness training, asset‑management programs, backup procedures, or business‑continuity plans. Cantonese, Mandarin, Japanese, or another Asian‑language capability is an advantage, but is not required. Employment Conditions This role is expected to provide regular onsite support at the Company’s New Jersey office and licensed facility, with occasional availability outside normal business hours for urgent technical issues, planned maintenance, system changes, or business‑critical events. The employee must comply with all Company and parent‑company IT, cybersecurity, confidentiality, data‑protection, acceptable‑use, and equipment‑management policies.
