Element Midland has an opportunity for an Administrative Assistant II, primarily responsible for processing routine business operations in project and finance systems.

The Operations Support Specialist may also be involved in receiving orders, managing inventory, and assisting with information storage and retrieval (both electronic and physical). The ideal candidate will be action oriented, have good attention to detail, and work well with others.

Responsibilities

1. Receive incoming shipments & assist with customer pickup and return of samples
2. Review customer PO's, and enter work orders into LIMS and Financial System
3. Verify that orders received include all necessary paperwork to allow for proper testing of samples, follow-up with appropriate stakeholders in case of discrepancies.
4. Promptly address revised PO's for work in progress by entering the new PO's into the system and communicating changes to appropriate department supervisor
5. Interact with internal departments on questions or issues related to particular projects
6. Enter internal purchase requests into finance system
7. Assist accounts payable with processing invoices received
8. Ensures all work is performed in accordance with company safety and quality policies and procedures and regulatory agency regulations
9. Other duties as assigned by supervisor or lab management

• Good verbal and written communication skills
• Excellent interpersonal and customer service skills
• Excellent organizational skills and attention to detail
• Ability to function well in a high-paced and at times stressful environment
• Proficient with Microsoft Office Suite or related software
• Good fundamentals and ability to learn quickly
