Finance and Reception Coordinator

Novu Skin Med Spa is looking for a professional, organized, and client-focused Finance & Reception Coordinator to join our team.

Key Responsibilities:

• Welcome clients and provide excellent service throughout their visit
• Assist clients with membership enrollment and explain membership options, payments, and benefits
• Help clients apply for financing and complete enrollment through third-party lenders
• Prepare and process invoices, payments, and financing paperwork accurately
• Answer clients' questions regarding memberships, balances, appointments, financing, and services
• Review next-day appointments and ensure all required notes and information are complete
• Follow up with clients regarding memberships, appointments, outstanding items, and available services
• Make outbound follow-up calls during available time
• Schedule and confirm appointments
• Communicate clearly with the Finance, Reception, Sales, and Management teams
• Maintain accurate client records and protect confidential information
• Help resolve client concerns professionally and promptly
• Support the reception area and maintain an organized, welcoming environment
• Occasionally make bank deposits and handle company funds responsibly

Position Requirements:

• Strong customer-service and communication skills
• Comfortable discussing memberships, payments, and financing options
• Organized, dependable, trustworthy, and detail-oriented
• Able to multitask in a fast-paced environment
• Confident making outbound calls and following up with clients
• Professional appearance and positive attitude
• Previous experience in reception, finance, sales, hospitality, or a medical-spa environment is preferred
• Experience with scheduling or client-management software is a plus
• Must have reliable transportation for occasional bank deposits
