Operations Coordinator

Position Summary The Operations Coordinator supports the daily movement of inbound and outbound loads by coordinating scale operations, shipment documentation, load information, and communication among plant operations, customer service, carriers, and other internal teams. Essential Duties and Responsibilities Operational Coordination Respond promptly to trucks entering the scale. Confirm that bills of lading match the loads being picked up by the assigned carrier. Maintain accurate information regarding empty and loaded trailers located in the yard. Manage Open Docks and assist with dock coordination. Follow up with customers regarding estimated arrival times. Support the Operations Manager with communication to the yard jockey regarding trailer needs. Serve as a primary administrative and coordination resource for Operations and the General Manager. Conduct routine yard and perimeter security checks to help ensure compliance with site security procedures and identify potential concerns. Inspect trailer seals on inbound and outbound shipments to verify seal integrity and report discrepancies to management. Maintain accurate records of trailer seal inspections and security check activities. Load and Shipment Management Enter and post single-grade loads. Move outbound loads to approved status after shipment, except for designated customers whose loads cannot be closed. Verify that export containers and domestic loads are loaded to the applicable maximum weight and communicate exceptions to the General Manager or Operations team. Verify that inbound loads meet applicable minimum weight requirements. Enter weight and grade information into cieTrade using grade sheets when tablets are not being used. Upload container photographs for export shipments promptly. Advise the General Manager and Customer Service team of detention charges. Communicate trailer damage to the General Manager and Customer Service team. Documentation and Administrative Support Manage required shipment documentation and distribute it daily to the appropriate parties. Send invoices to the Procurify team. Forward freight invoices to the Customer Service team. Assist with maintaining the plant purchase order list. Direct accounting, supplier, and customer questions or issues to the Customer Service team. Assist with paper audits to ensure shipment, scale, inventory, and operational documentation is complete, accurate, and maintained in accordance with company procedures. Maintain organized operational records and supporting documentation for audits, compliance reviews, and internal reporting requirements. Track, file, and retain required operational records in accordance with company recordkeeping standards. Communication Communicate daily with the Operations Manager regarding the following day’s inbound and outbound load plans. Promptly notify the Customer Service Specialist when production issues require changes to scheduled inbound or outbound loads. Serve as a liaison among the General Manager, Operations, and Customer Service. Help ensure that operational changes, trailer requirements, load issues, and shipment concerns are communicated to the appropriate teams. Qualifications High school diploma or equivalent. Experience in plant operations, logistics, transportation, shipping and receiving, scale operations, or a related environment preferred. Strong organizational skills and attention to detail. Ability to manage multiple loads, documents, and operational priorities simultaneously. Effective written and verbal communication skills. Comfortable working with carriers, drivers, customers, suppliers, and internal departments. General computer and data-entry proficiency. Ability to learn and use cieTrade, Procurify, and other company systems. Ability to identify discrepancies and communicate operational concerns promptly. Experience with recordkeeping, compliance documentation, auditing processes, or transportation documentation preferred.
