• 2+ years of administrative support experience
• High-volume data entry experience

• Experience handling a multi-line phone system
• Bilingual English/Spanish skills preferred
• Construction industry experience a plus

FULL DESCRIPTION: We are seeking a Operations Support Specialist to provide administrative, data entry, phone, and order support to a busy production department. This role is responsible for entering production data, answering incoming calls from builders, installers, and customers, opening service or order tickets, tracking requests to ensure timely handling, and providing general administrative support to the production team. The ideal candidate will have prior administrative support experience, strong data entry skills, excellent organization and communication abilities, and the ability to manage multiple priorities in a fast-paced environment.

 

The selected candidate will be responsible for:

• Entering high-volume data for the production department
• Maintaining accurate production and order information
• Answering incoming calls from builders, installers, customers, and other contacts
• Handling and routing calls using a multi-line phone system
• Opening tickets for orders, service requests, and production needs
• Ensuring tickets and requests are routed for timely follow-up
• Providing updates and information to internal teams and external contacts as needed
• Supporting the production department with administrative tasks
• Maintaining organized records, files, and documentation
• Assisting with order-related data entry and follow-up
• Communicating professionally with customers, builders, installers, and internal staff
• Prioritizing multiple assignments in a fast-paced environment
• Using Microsoft Office applications for daily administrative tasks
• Performing other duties as assigned

 

The selected candidate will also possess:

• 2+ years of administrative support experience required
• High-volume data entry experience required
• Strong Microsoft Office proficiency required
• Strong attention to detail required
• Excellent organizational skills required
• Strong time management skills required
• Ability to multitask effectively required
• Experience handling a multi-line phone system preferred
• Strong written and verbal communication skills required
• Ability to work in a fast-paced environment required
• Ability to prioritize competing tasks and deadlines required
• Professional customer service skills required
• Ability to work independently and as part of a team required
• Construction industry experience a plus
• Production, manufacturing, construction, or related administrative experience preferred
• Bilingual English/Spanish skills preferred
• Ability to work onsite in Indio, CA

 

Physical Requirements:

• Ability to sit and work at a computer for extended periods while entering data, reviewing orders, opening tickets, responding to emails, and completing administrative tasks
• Ability to communicate by phone, email, and in person throughout the workday
• Ability to use hands and fingers for typing, data entry, filing, scanning, phone use, and standard office tasks
• Ability to review production information, orders, tickets, records, spreadsheets, documents, and computer screens for extended periods
• Ability to occasionally stand, walk, bend, reach, and move throughout office or production areas as needed
• Ability to occasionally lift, carry, or move standard office files, documents, supplies, or small materials as needed
• Ability to maintain accuracy, professionalism, organization, and attention to detail while supporting a fast-paced production department

 

Salary Range: $21 to $22/hour
