CBRE Global Workplace Solutions is a leading global provider of integrated facilities and corporate real estate management. We are recruiting a Mailroom Coordinator to join our team located in London. The Mailroom Coordinator will oversee the mailroom and courier services along with the delivery, storage, movement and return of goods for the site.

Role Summary

The Mailroom Coordinator will:

• Deliver a seamless, delightful, and superior mailroom service for all Athletes and Business Units
• Manage the logistics and movement of business deliveries at the site
• Manage the day-to-day management of the Facilities suppliers for the mailroom and logistics services
• Implement and monitor standards of service to meet and exceed expectations and look for opportunities to improve efficiencies related to mailroom services
• Work with the wider facilities team to anticipate and resolve any potential obstacles in the work environment
• Back up for site team absences and support
• Provide support for other locations
• Be familiar with all services within the facility and work with the services team to facilitate a hospitality approach across all service lines
• Be a superuser for those technologies used for the mailroom services such as I-track, Bringme box etc
• Be responsible for the QSHE in the mailroom and logistics, in addition support in the QSHE process for the Facilities site and services through reporting of near misses and demonstrating a proactive approach to QSHE

Day-to-Day Facilities Management

The Mailroom Coordinator will:

• Maintain day-to-day relationships with the Building User stakeholders regarding the mailroom and logistic services
• Coordinate and manage the logistics of the goods in and out service
• Manage the couriers service, from acceptance of courier packages, ensuring delivery to the customer, and arranging couriers
• Ensure that the onsite tracking and security of all mail and packages is followed and tracked
• Provide monthly data and reports on the mailroom & shipping costs and volumes to the Facility Lead
• Ensure that all printing & copier stations are stocked and tidy, working with supply partners on any issues or faults

Experience Required

The Mailroom Coordinator should have:

• Minimum of 3 years in warehouse, shipping & receiving
• Physical ability to assist with mailroom operations; able to lift 50 lbs/ 22kg
• Self-motivation and organizational skills with the initiative and ability to complete tasks in a timely manner
• Proven ability to work in a customer focus environment and to work as part of a team
• Warm and engaging demeanour with ability to assess circumstances, empathize and offer help
• An operational knowledge and proficiency in Microsoft Office suite (Word, Excel, SharePoint) and other specific mailroom IT tools
• English proficiency
