Founded in 1978 by two families facing childhood cancer, Candlelighters Childhood Cancer Foundation of Nevada is the state’s first and oldest nonprofit dedicated to supporting families affected by childhood cancer. The organization provides emotional support, quality of life programs, and financial assistance to children and their families, serving approximately 400 families and more than 1,800 children each year. All services are offered at no cost, with a mission to help families focus on their child’s journey and well-being, and a vision to ensure no family faces childhood cancer alone.

 

JOB SUMMARY

Candlelighters is seeking a hands-on Accounting and Office Manager to own day-to-day accounting, office operations, and building/tenant management. This role is ideal for a highly organized professional with strong accrual accounting experience who is deeply proficient in QuickBooks Online. The Accounting and Office Manager plays a key role in maintaining financial accuracy, supporting organizational operations, and serving as the primary point of contact for building and tenant-related matters. As needed, this role also supports Candlelighters’ programs through logistics, registration, and reporting assistance.

DUTIES/RESPONSIBILITIES

• Own full-cycle Accounts Payable (vendor setup, invoice routing/approvals, payment runs) and Accounts Receivable (billing, deposits, reporting, reconciling online donations).
  


• Maintain QuickBooks Online with proper accrual accounting practices; ensure accurate chart of accounts, classes/projects, and month-end entries.


• Lead month-end close: prepare/post accruals and prepaids; reconcile bank, credit card, and loan accounts; review fixed assets and depreciation schedules.


• Prepare recurring financials and operational reports (P&L, balance sheet, cash flow; P&L by class/program; tenant rent schedules; CAM reconciliation statements).


• Support Development team in tracking of donations, grants and awards.


• Support compliance: W-9/1099 and audit/CPA requests.

OFFICE AND OPERATIONS 

• Manage general office administration: supplies, mail, scheduling, and vendor coordination.


• Document and continuously improve processes (AP/AR workflows, record retention, internal controls).

BUILDING AND TENANT MANAGEMENT

• Serve as the Candlelighters’ primary contact for their three tenants; manage lease administration, rent invoicing, deposits, and late fees.


• Coordinate maintenance, inspections, and facilities vendors; track work orders and preventive maintenance schedules.


• Maintain compliance (COIs, fire/life safety, permits) and keep building documentation current.


• Own CAM budgets and annual reconciliations; track tenant recoveries and provide statements as needed.

Performs other related duties as assigned. 

EDUCATION AND EXPERIENCE 

• 5+ years progressive accounting experience with solid understanding of accrual accounting.


• Advanced QuickBooks proficiency and able to use and manage, classes/projects, import and reconcile data from linked financial accounts, and perform timely monthly closes.


• Nonprofit accounting and grant reporting experience, preferred.


• Property management/tenant relations and CAM reconciliation experience, preferred.


• QuickBooks Advanced Certification or similar credential, preferred.


• Familiarity with lease administration, preferred.

• A passion for helping families go through one of the most difficult journeys.
  


• Excellent communication and follow-through.

SCHEDULE

Monday through Friday, on-site, occasional evenings/weekends for events or urgent building issues. 

LICENSE AND EMPLOYMENT REQUIREMENTS

Position requires proof of authorization to work in the U.S., fingerprinting, and background check.

• Ability to sit or stand for extended periods


• Must be able to lift 15 pounds at times


• Frequent use of a computer, phone, and office equipment
