Aegis Security Solutions is seeking a dependable, organized, and customer-focused Customer Service & Administrative Assistant to join our growing team. This position serves as the first point of contact for customers and supports daily office operations, scheduling, and documentation. The ideal candidate has strong communication skills, enjoys helping people, and thrives in a fast-paced environment.

Key Responsibilities

Customer Service

  • Answer inbound calls and assist customers with general inquiries, service requests, billing questions, and account updates.

  • Provide exceptional customer support with a friendly, professional demeanor.

  • Create service tickets, schedule appointments, and coordinate with field technicians and dispatch.

  • Follow up with customers to ensure issues are resolved and service quality meets Aegis standards.

  • Assist with customer onboarding, account setup, and explaining basic system features.

Administrative Support

  • Perform general office duties including data entry, filing, and document organization.

  • Update customer records, work orders, and service logs in the CRM system.

  • Prepare and send email correspondence, quotes, and basic contract documents.

  • Assist with inventory management—logging equipment, tracking returns, and coordinating shipments.

  • Support management with day-to-day administrative tasks and special projects.

Operational Support

  • Help track technician schedules and provide information to customers regarding arrival windows and job status.

  • Manage incoming mail, vendor communications, and office supply orders.

  • Assist in maintaining a clean, organized, and efficient office environment.

  • Work collaboratively with the technical support, sales, and field operations teams.

Knowledge, Skills & Abilities

Knowledge

  • Basic understanding of office operations and administrative procedures.

  • Familiarity with Microsoft Office (Word, Excel, Outlook) and general computer use.

  • Experience with CRM or scheduling software is helpful but not required.

Skills

  • Strong customer service and communication skills—both verbal and written.

  • Excellent time management, multitasking, and organizational skills.

  • Professional phone etiquette and active listening ability.

  • Solid problem-solving and follow-through skills.

  • Ability to handle sensitive information with discretion and professionalism.

Abilities

  • Work independently and as part of a team.

  • Learn new software and processes quickly.

  • Adapt to changing priorities, high call volume, and fast-moving situations.

  • Maintain a calm, patient, and friendly demeanor—even with upset customers.

  • Stay detail-oriented while managing multiple tasks at once.

Qualifications

  • High school diploma or equivalent required.

  • Prior customer service or administrative experience preferred.

  • Experience in security, alarm systems, home services, or technical industries is a plus but not required.

  • Bilingual (English/Spanish) is a strong advantage.
