Project Coordinator

$37 - $42 per hour

Location: Onsite – Cincinnati, OH

Pay: $37 - 42/hr (Compensation can vary depending on experience)

General Overview

The Conversion Project Administrator supports enterprise-level operational conversion and acquisition initiatives involving deposits, lending, and shared services. This position helps coordinate cross-functional teams and external partners throughout the project lifecycle, ensuring initiatives remain aligned with established scope, timelines, budgets, quality standards, and business objectives.

Working closely with internal stakeholders, vendors, consultants, and other project partners, this individual will help organize project activities, maintain documentation, identify and escalate risks, and ensure teams remain aligned from initial planning through implementation and post-conversion activities.

Responsibilities

  • Coordinate project activities associated with operational conversions and acquisitions from initial planning through completion.
  • Support cross-functional teams through project initiation, planning, execution, implementation, and closeout.
  • Track project scope, schedules, budget deliverables, and quality expectations, escalating concerns as appropriate.
  • Coordinate internal team members, vendors, consultants, and other third-party resources supporting conversion initiatives.
  • Partner with business and functional stakeholders to gather requirements, confirm expectations, and maintain alignment throughout the project.
  • Develop and maintain detailed project documentation, including project plans, action-item trackers, issue and risk logs, stakeholder information, testing materials, implementation checklists, and post-conversion activities.
  • Monitor project risks, issues, dependencies, and status reporting activities throughout the project lifecycle.
  • Organize and facilitate project and workstream meetings, including preparing agendas, documenting decisions, capturing action items, and following up on outstanding tasks.
  • Assist with coordination of implementation logistics, including meeting spaces, meals, deliveries, and other on-site requirements.
  • Support preparation and execution of go-live activities and post-implementation follow-up.

Requirements

  • 5+ years of experience supporting or managing projects within a mid-sized to large corporate environment.
  • Bachelor's degree in business, finance, project management, or a related field, or equivalent professional experience.
  • Strong understanding of project management principles, methodologies, tools, and best practices.
  • Experience coordinating complex, cross-functional initiatives involving multiple departments and stakeholder groups.
  • Experience working with external consultants, vendors, business partners, or other third-party resources.
  • Strong organizational skills with the ability to manage multiple priorities, deadlines, and project dependencies simultaneously.
  • Strong meeting facilitation, documentation, and follow-up capabilities.
  • Demonstrated ability to navigate competing priorities and resolve or escalate issues effectively.
  • Strong interpersonal skills and the ability to build productive relationships across various levels of an organization.
  • Proficiency with Microsoft Office applications, including Word, Excel, and PowerPoint.

Preferred Qualifications

  • PMP certification or formal project management training.
  • Advanced knowledge of project management frameworks, including PMBOK and related industry practices.
  • Experience using project management and collaboration platforms such as Jira, Asana, Monday.com, Workfront, Trello, or similar.
  • Experience supporting banking, financial services, operational transformation, system implementations, acquisitions, or other large-scale business initiatives.
  • Proven ability to successfully manage time-sensitive projects while balancing multiple competing priorities.
