Assistant Site Manager
Summerset Assisted Living Community
Person is responsible for managing the entire
operation of the facility. The managing of the facility should be done in
accordance with the policies of Summerset's rules, regulations, laws, and
policies as well as those of the Federal, State, and Local governments.
The assistant site manager's responsibilities will of course
include strong leadership skills and that leader that can build a team with
residents, their families, their physicians, and other professionals. This
strong relationship can lead to good health as well as improved health and
wellness. Person must be able to get along with staff, family, vendors, and
guest and serve as a role model.
It is important that the staff understands what a person
needs and then ensure that an individualized care plan is developed. After it
is developed, the Assistant Site Manager must have a copy for review as well as
recommendations.
Report to Site Manage and Director of Operation.
Qualifications:
- Have
good administrative and organizational skills - Possesses
qualities of loyalty and dependability - Have
good mental and physical health - Physical
examination upon employment and annually thereafter - No
known problems with drug addiction and/or alcohol - Have
good/neat appearance - Possesses the ability to work congenially
with others: - Ability
to work with business associates - Ability
to work with resident's families/representative(s) - Ability
to work with contact persons/placement persons at various agencies. - Is
aware of resident's rights - Strong
problem solving skills - Must
have current First Aid Training/CPR certificate or attend training
class - Good
clerical and administrative experience including computer skills - Good
communication skills (verbal and written) - At
least two years of experience preferred - Genuine
interest in older adults - Alertness
and ability to recognize change in resident's condition - Ability
to intervene in a crisis - Pays attention to details
- Ability
to follow procedures, stay calm, and intervene effectively, in emergency
situations. - Must
be knowledgeable of medication policies and procedures as outlined in a
special medication orientation session with Management and/or pharmacy
staff - Must
be knowledgeable of all pertinent OSHA, Safety and Health policies and
procedures.
Scheduling. Works in concert
with the scheduler, nursing department to ensure that timely planning of the daily, weekly and monthly
schedules and meetings is done.
In
servicing/orientations. Works in concert with all departments to ensure
that staff and
Residents (residents are informed
on appropriate rights and rules such as (Fire Drills and Evacuation) are
informed referenced to all federal, state, OSHA, Risk Management's,Summerset's
rules and regulations as well as workshops on good caregiving skills.
Recommend applicants for
employment and recommend employees for discharge. All employees should be
interviewed by Human Resources and introduced to the Site Manager.
Discharges should be done with at least two administrative staff.
Evaluating
Employees. Performances should be documented to assist in the staff's
growth.
Being
knowledgeable about all equipment in facility and its locations.
Ensuing
that Fire Drills are conducted. Documenting appropriately.
Ensuring Med Rooms are organized
and incompliance as well med assistance processes are followed per State
Guidelines.
Ensuring that a resident is
monitored for changes in her/his health, not only ensuring that forms are
completed but interventions and solutions are rendered.
Ensuring that nurse reviews
discharge papers and follows orders. .
Ensuring
offices are running smoothly i.e. staffing, office supplies, etc.
Completing
weekly reports. (Staff, residents, changes...)
Ensuring
that all appointments are followed-up on...
Ensuring
that all residents have an appropriate communication systems...
Ensuring that staff answers residents calls
in a timely manner.
Ensuring
that all procedures are in manuals and followed through.
Ensuring that each department is inspection ready each day.
Ensuring resident files and
staff files are COMPLETE and ready for inspection at all times.
Detailed Required
Responsibilities. Note that most of these will have to be assigned.
Daily
• Ensure that the entire outside of property
walked and everything is fine, clear of obstacles, clean, furniture is in
proper place or intact.
• Walk entire inside of building to ensure that
everything is clean, clear of obstacles, or intact.
• Ensure that residents are cared for properly.
• Conducts daily rounds visiting and ensuring that
residents are talked with are happy and that their concerns are addressed.
Follow-up to ensure that the concerns are resolved.
• Visiting the residents in the dining room during
mealtime to determine if meals are meeting their expectations or see if SS is
doing everything that it can do to ensure a warm, happy, and safe environment.
• Review schedule to ensure that there is a
Manager-on Duty (MOD) on weekends and that these persons are trained. Run
interference to determine that these persons know all emergency etc... procedures
that must be followed.
• Ensure that the MOD notes are left for manager,
an agenda, and a list of persons who are in building and who are not.
1. Ensure
that weekend managers are trained.
2. Ensure
that there is a communication system that ensures that managers are prepared
and informed of all issues and events for the weekend.
3. Ensure
that there is a sound schedule
• Ensure that assignments of DRM (dining room
manager) for each meal during each day. These can be CNA's.
• Ensure that the entire operation of the dining
room is functioning smoothly and that meals are served on time and hot.
• Make sure that all family's and resident's calls
are followed-up or returned at least within 1 hour of their calls unless there
are emergencies or unless the call placed by a family and it is stated that it
is an emergency and should be returned immediately.
• Take a few minutes to monitor staff's,
resident's, family's, and visitor's morale.
• Follow-up on all messages: E-mails, letters,
necessary faxes, etc.
• Check with appropriate persons to ensure that
any known correspondences are followed up on by sending thank-you letters or
etc.
• Ensure that there is a complete staff each day.
• Spend a few minutes at the end of day and review
for and plan for next day.
Weekly
• Conduct a Department Head Meeting (Ensure that
appropriate staff is in place to get SS running smoothly.)
• Conduct meeting with Maintenance Staff.
• Collect and prepare bills. Monitor/track
department spending.
Monthly
• Conduct a general staff meeting.
• Conduct mandatory staff meeting.
• Review, update, and complete emergency as well
as safety requirements.
• Conduct an updated safety meeting.
• Conduct a Mock-Inspection in each department:
one department per week.
• Meet with the Owners.
• Address any and all reports due.
• Conduct In-services.
• Have a monthly resident meeting where the
residents can meet with the site manager and any other administrative staff
member. Make sure that these issues or concerns, if any, are followed up on a
timely basis.
• Work with the owners to ensure that customer
service is shining for a family members and residents are our customers.
• Design an ambassador's or good neighbor's
program where new residents are made to feel welcome and special.
• Ensure that a monthly new resident social takes
place where all department heads attend.
• Ensure that appropriate release forms for
resident pictures are signed and in residents' folder (not white binder) when
possible.
• Ensure that resident's family members are called
after experiencing their first day and night at SS (the next day.)
• Review daily and weekly issues so that programs
or solutions can be prepared and addressed.
• Ensure that an orientation program is attended
by all new staff members and they know their residents, their conditions, and
how to care for them.
• Ensure that the appropriate orientation takes
place.
• Perform other duties as assigned.
Ensure that any additional tasks or duties are successfully
carried out that are owner requested.
