IP Patent Specialist - All U.S. Offices

The Patent Specialist will work closely with the attorneys, technology specialists, Intellectual Property (“IP”) Section management, and staff to provide both US and Foreign prosecution work, exceptional client service (both internal and external), and serve as a team resource to colleagues on best practices and firm policies. The Patent Specialist will report to the Foreign Filing Paralegal Manager. Responsibilities: Manage US and foreign patent prosecution dockets and ensure all deadlines are met accurately and on time. Prepare and file US, PCT, and foreign patent applications, formal papers, and follow-on prosecution documents under attorney supervision. Prepare and send correspondence and reporting letters to clients, foreign associates, the USPTO, and international patent offices. Work with clients to obtain assignments, declarations, powers of attorney, and other formality documents. Maintain physical and electronic files promptly and accurately. Track, document, and enter billable time accurately and in compliance with firm time entry policies. Provide guidance, mentoring, and training to staff on IP best practices, rules, and firm policies. Serve as backup to other IP paralegals as needed. Perform additional responsibilities and special projects as requested. This role requires 60% in office presence; remote work is permissible 40% of the time. Qualifications: Bachelor’s degree or equivalent work experience required; paralegal certificate preferred. 5+ years of US and foreign patent prosecution experience in a law firm required. Ability to navigate US and foreign patent office websites and interpret country-specific patent requirements, including legalization and apostille documents. Excellent case management, organizational, administrative, and time-management skills. Strong knowledge of USPTO, Patent Center, WIPO e-PCT, and foreign patent office rules, procedures, and filing requirements. Possess excellent written and verbal communication skills. Strong organizational and administrative skills. Excellent attention to detail and ability to execute through to completion. Creative problem solving skills, reasoning ability, and logical thought process. Ability to work under pressure, prioritize competing demands, and meet various deadlines. Demonstrated ability to professionally interact and collaborate with colleagues at all levels. Ability to work independently and as part of a team. Outstanding sense of customer service. Enthusiastic, proactive, and positive attitude. Ability to handle confidential matters with discretion. Must be self-motivated to produce quality work. High level of integrity and honesty. Excellent computer skills, including proficiency in using Microsoft Word, Outlook, Excel and PowerPoint. Ability to quickly get up to speed and master new applications and software is critical.
