About the Role

Shift5 is building the data platform for onboard operational technology (OT). We deliver cybersecurity, predictive maintenance, and compliance capabilities that enable defense and commercial fleets to operate with greater readiness, resilience, and mission assurance. Shift5 is looking for a highly organized, proactive People & Talent Coordinator to join our growing People & Talent team.

Reporting to the VP of People & Talent, this role will serve as a key coordination and project partner across Recruiting and People Operations. You'll help keep hiring processes moving, coordinate executive and team interviews, support onboarding and employee programs, and provide day-to-day operational support to the VP of People & Talent and broader team.

This is a hands-on role for someone who loves making things run smoothly, is exceptionally organized, and can manage multiple priorities in a fast-moving environment. It's also a great opportunity for someone looking to build a career across both Talent Acquisition and People Operations.

What You'll Do Recruiting & Talent Coordination

• Own interview scheduling across active searches, including complex panel and executive interviews.
• Coordinate onsite interview days at our Rosslyn HQ, including candidate logistics and interviewer schedules.
• Send interview confirmations and candidate communications and quickly manage reschedules or changes.
• Partner with recruiters and hiring managers to keep interview processes moving quickly and provide a strong candidate experience.
• Support the VP of People & Talent with coordination of executive searches, including scheduling with executives, board members, and other senior stakeholders.
• Maintain accurate candidate information, interview plans, and recruiting trackers.
• Support recruiting reporting and ATS data integrity.
• Assist with candidate sourcing and outreach as bandwidth and experience allow.

Onboarding & Employee Experience

• Coordinate onboarding logistics from signed offer through an employee's first day.
• Maintain the onboarding tracker and ensure People, IT, Security, hiring managers, and other stakeholders are prepared for incoming hires.
• Coordinate laptops, swag, Battle Buddies, calendars, and first-day logistics.
• Send and track CIIAs and other required new-hire documentation.
• Partner with the People team to continuously improve and redesign the onboarding experience.
• Help create a consistent and welcoming experience for onsite and remote employees.

People Operations & Programs

• Provide day-to-day coordination and project support to the VP of People & Talent and broader People team.
• Maintain People trackers, project plans, documentation, and follow-ups.
• Support recurring People initiatives including performance cycles, benefits, 401(k), employee engagement, and other company-wide programs.
• Assist with HRIS updates and employee lifecycle processes.
• Support updates to the employee handbook, People policies, and internal resources.
• Coordinate Lunch & Learns, employee engagement activities, manager programming, and other People initiatives.
• Support People team purchasing, expenses, and vendor coordination.
• Help identify manual or inefficient processes and work with the team to improve them.

Partner to the VP of People & Talent

• Help coordinate priorities, meetings, projects, and follow-ups across the People & Talent organization.
• Maintain visibility into deadlines and outstanding action items and proactively help keep work moving.
• Support preparation and coordination for key People initiatives and leadership meetings.
• Provide administrative and project support where needed to create additional leverage across the function.
• Anticipate needs and jump in where additional support can help the team move faster.

What We're Looking For

• 2–4 years of experience in Recruiting Coordination, Talent Acquisition, People/HR Operations, project coordination, or a related role.
• Exceptional organization and attention to detail.
• Experience coordinating multiple interviews, calendars, projects, or competing priorities.
• Strong written and verbal communication skills.
• A proactive mindset and willingness to jump in wherever needed.
• Ability to work independently and follow through without significant oversight.
• Strong judgment and discretion when handling confidential employee, candidate, and company information.
• Comfortable interacting with candidates and employees at all levels, including executives and board members.
• Ability to operate effectively in a fast-paced, high-growth environment.
• Ability to regularly work from Shift5's headquarters in Rosslyn, Virginia.

Preferred Qualifications

• Experience with Greenhouse or Ashby, or a similar ATS.
• Experience with Rippling, or another HRIS.
• Experience with Ramp or a similar expense management platform.
• Experience coordinating executive-level or complex interview processes.
• Experience supporting new-hire onboarding and employee lifecycle processes.
• Experience with LinkedIn Recruiter and candidate sourcing.
• Exposure to benefits, payroll, 401(k), or HR compliance administration.
• Experience working in a venture-backed or high-growth technology company.
• Experience in defense technology, aerospace, cybersecurity, or government contracting is a plus.

What Success Looks Like

Within your first 6–12 months, you will:

• Take ownership of interview coordination and significantly reduce scheduling and administrative burden across the recruiting team.
• Create a highly organized and consistent candidate experience across searches.
• Successfully coordinate complex executive searches and onsite interview processes.
• Own the operational coordination behind onboarding and improve the experience for new hires and hiring managers.
• Create stronger trackers, processes, and operating rhythms across People & Talent.
• Become a trusted partner to the VP of People & Talent, recruiters, and People Operations team.
• Build enough knowledge across Recruiting and People Operations to proactively identify what needs to happen next and help move it forward.
