Community Association Manager

Community Association Managers manage a portfolio of HOA communities (a mix of condominiums, single-family, and townhome associations), generally kept within similar metro areas. Managers build up to 10 properties by year one, hold at 10 for the first two years, then grow to ~12. They provide guidance and direction to boards, work with vendors on community projects, and act as a trusted leader/advisor to help boards make decisions on what work they can do and afford. There's no typical "day," but responsibilities across a month include:

Community Management:
- Advise and guide association boards on policy issues within their scope of authority, and implement board decisions.
- Recognize when to consult the association's attorney for interpretation of statutes and documents.
- Attend ~4-5 board meetings per month once at full portfolio (many in the evenings, roughly 50/50 remote vs. in person), and prepare monthly management reports and meeting agendas.
- Perform regular property visits - walking each property to note violations and maintenance issues (drive-throughs allowed in winter).
- Handle day-to-day phone calls and emails, assist with dispute resolution/rules enforcement, and maintain association property records.


Financial Management:
- Review incoming work orders and approve/pay invoices (typically first thing each morning).
- Report monthly on each association's financials, CD renewals, and bids gathered for projects like asphalt, roofing, or gutter work; help boards understand their financial position.
- Prepare budgets/projections and communicate board directives to the accounting department.


Facilities Management:
- Oversee association grounds and buildings; arrange maintenance, repairs, and replacement of common elements.
- Identify qualified contractors, negotiate contracts, and oversee vendor activity; gather and present bids and proposals.
- Respond to emergencies promptly (e.g., water leaks) and handle homeowner complaints (irrigation, snow removal, etc.)

Logistics & Environment:
- Office based in Eden Prairie. First 90 days are in-office Monday-Thursday (Wednesdays always in-office thereafter), with added hybrid flexibility after 90 days.
- Salaried position with untraditional hours required (evening board meetings, etc)
- Strong autonomy and schedule flexibility - managers own their own calendars. [

Required Skills & Experience
- 1+ year of professional work experience - recent grads should show real-world professional experience or substantive internships beyond college serving/bartending roles.
- Strong verbal & written communication skills - confident enough to voice opinions, guide/advise HOA board members, and present to groups of 3-7+ people, including larger annual meetings. Must work effectively with a wide range of constituencies in a diverse community.
- Customer service oriented - able to analyze and interpret customer needs and offer appropriate solutions; stays composed handling difficult people, complaints, and emergencies.
- Self-starter / self-motivated - takes initiative, digs into problems independently, and thrives with autonomy rather than waiting to be fed information.
- Strong cultural fit - collaborative, supportive, team-first attitude
- Organizational skills - skilled in organizing resources, establishing priorities, and maintaining personal recordkeeping systems.
- Reliable transportation & valid driver's license - role requires regular on-site property visits; must furnish own automobile (mileage reimbursed).


Nice to Have Skills & Experience
- Property/association management background - helpful but not required; ~80% of hires come in with no HOA experience. New hires take the M100 course (with a test) in their first two weeks, followed by continuous, roughly year-long on-the-job training through all four seasons.
- Apartment/property management experience - a plus, signaling proven customer service skills and experience with difficult residents.
- Hospitality, retail, or teaching backgrounds - proven success areas; these candidates handle non-traditional hours and demanding customer interactions well.
- Knowledge of property management principles, community association law, project planning, and the contracting process - all trainable once hired (reading financials, invoice paying, gathering/presenting bids), so existing knowledge is a bonus, not a gate.
- Ability to interpret financial data for boards and coordinate/supervise independent contractors.
- College degree - preferred, not required (resume and the person matter more than the degree).
- Property management software familiarity - helpful, but trained on the job.
- CMCA exam - must be able to pass the Certified Manager of Community Associations exam within two years of employment. -
