Office Clerk

The Office Clerk is responsible for supporting daily plant operations. This role serves as a key administrative resource for the facility, ensuring accurate records, efficient communication, and effective coordination of office and plant activities.

Key Responsibilities

• Manage contractor compliance activities, including maintaining current Certificates of Insurance (COIs) and communicating compliance requirements to contractors.
• Maintain vendor databases and compliance records, including administration of annual quality surveys.
• Complete daily production entries, verify production logs for accuracy, reconcile inventory counts, and report discrepancies.
• Facilitate product returns and transfers as needed.
• Generate purchase orders, process invoices, and coordinate accounts payable activities with corporate headquarters.
• Manage plant petty cash.
• Process daily milk ticket changes and submit milk ticket information to finance for tracking and reporting.
• Order and manage office supplies.
• Coordinate meetings, catering arrangements, presentations, and other administrative support activities.
• Serve as the primary point of contact for visitors, answer telephone calls, assist with mail and package distribution, and provide general front office support.
• Perform other duties as assigned.

Qualifications

Required

• High school diploma or equivalent.
• Proficiency with Microsoft Office Suite, including Word, Excel, and Outlook.
• Experience with HRIS systems or the ability to learn new software systems quickly.
• Strong verbal and written communication skills.
• Strong organizational, planning, and administrative skills.
• Ability to research, analyze, and interpret information from multiple sources.
• Ability to establish and maintain positive working relationships with employees, management, vendors, and contractors.
• Self-motivated with the ability to work independently and take initiative.
• Strong attention to detail and accuracy.

Preferred

• Experience in an administrative, office coordinator, plant administrator, or similar support role within a manufacturing or industrial environment.
• Experience with accounts payable processing and purchase order administration.
• Experience supporting inventory, production reporting, or operational recordkeeping.
• Demonstrated flexibility and adaptability in a fast-paced environment.
• Commitment to continuous learning and openness to diverse perspectives and ideas.
