Principal Accountabilities Communicate any standing order for CPM review & approval before creation and transmission. Review and verify manual purchase orders for customers and electronic capital requisitions, checking for accuracy and optimum delivery and pricing. Ensure PO and Auto PO have maximum lines. Work with departments regarding non‑catalog products to ensure correct vendor information is obtained and included on the requisition. Ensure Bill Only POs and draft POs are received and resolved within 48 hours or end of month to synchronize impact on departmental budgets. Ensure product standardization when applicable. Expedite orders to ensure on‑time delivery; follow up to ensure product orders are completed to customer satisfaction using tools such as Open PO reports, Daily PO activities, Backorder notification, and customer direct contact. Return all emails and phone calls within the same day. Follow through completion of all POs in conjunction with GHX: customer receipt, open order report, customer notified of rejected lines and re‑issuance of new request by customer, invoice resolution. Help maintain Oracle data files and correct or request correction of any identified issues between items, vendors, purchase orders, cost centers, requestors, or receipts. Inform Strategic Sourcing Analysts pending blanket or service contract orders. When needed, get updated status on orders for requestors and expedite if required. Inform Sourcing Analysts of contract pricing issues. Confirm all purchase orders via EDI, email, phone and fax within 48 hours of transmission time. Proactively recommend process improvement changes to management team. Act as a customer advocate, lead and partner with departments through site visits, phone, email or virtual; educate and influence process improvements to streamline work. Train Oracle application users and educate on ASCS inconsistencies. Educate on shipping time frames. When aware of a return issue, review if other departments could utilize products to minimize cost impact before return. Use remote access or virtual viewing to resolve ASCS issues. Make recommendations on efficiencies such as standardization of vendors and/or products (e.g., adding items to templates or vendors to auto PO) and correct or request correction of any identified issues between items, vendors, purchase orders, cost centers, requestors, or receipts. Review orders rejected, changed, backordered, or not confirmed; communicate questions or determinations to all involved parties. Receive bill only, bill pay, general service, and repair POs as needed with requestor approval where required. Communicate any credit hold issues to AP and coordinate with the CPM team, along with any AR contact and supporting information when available. Qualifications Associates degree or higher, or a minimum of a High School Diploma / GED with relevant experience. 3+ years in purchasing or buyer‑related field. Healthcare environment experience helpful.
