Come join our team! About The Position This is a dually allocated support position in which the incumbent will provide entry‑level administrative and legal support to the Youth Justice Unit. The incumbent will perform routine to moderately difficult office responsibilities such as handling and coordinating a variety of complex administrative functions and activities within the assigned Unit. The duties include preparing letters, memorandums, reports, labels, envelopes, subpoenas, motions, court orders, petitions, writs and other legal documents from case files, handwritten copy, and verbal instructions from assigned Assistant State's Attorneys. The incumbent will prepare subpoenas for witnesses and police officers for court hearings in accordance with established procedures using the Odyssey File and Serve (MDEC) system, along with Judicial Dialog (JD) and JPortal. High accuracy and close supervision by the Unit Chiefs are expected. Examples of Work Utilizes the Odyssey File and Serve system to file and update court cases. Prepares documents used in the legal profession from handwritten notes and verbal instructions; proof‑reads all copy for possible errors. Operates and disseminates CJIS information following proper procedures and compliance with state laws and regulations. Prepares appropriate copies of discovery material for each criminal case and coordinates with Defense Attorneys and the Public Defender’s Office. Manages CT felony case files, accurately documenting completion of all case‑related paperwork on the case jacket. Operates a computer (PC) to provide additional flexibility in case work and other written materials for attorneys' signatures. Exercises appropriate discretion and good judgment in determining the type or information to be furnished upon request; always complies with state‑mandated guidelines. Demonstrates thorough knowledge of the CT case filing system. Completes file maintenance tasks completely, following retention guidelines as directed by the supervisor. Qualifications High school diploma or G.E.D. certificate with coursework in typing, office practices or other related clerical subjects. One (1) year of advanced diverse and/or technical clerical experience which must have involved working with the public for at least six (6) months. Any equivalent combination of relevant training, education and experience may also be considered. Each applicant must include information that clearly demonstrates the above qualifications for this position. Candidates deemed to meet the minimum qualifications will be invited to complete and pass an online Administrative Aide examination. Applicants who have previously taken and passed the exam on or after 8/1/2024 will not be required to re‑test; previous passing scores will be applied. Conditions of Employment Meet all training and performance standards and demonstrate proficiency as required by the agency. Wear and use agency protective apparel and equipment in the performance of assigned duties. Successfully pass preemployment checks which may include reference checks, background investigations, and drug screenings. Be willing and able to serve as an essential employee; report during standard or non‑standard hours as operations necessitate, or to remain at work when other County employees are granted Administrative Leave.
