Rental Services Coordinator

The Grandview City Hall/PD/Court parking lot will be closed beginning Wednesday, Sept. 9th. Visitors can park at 1416 Main Street lot or find on-street parking. Handicap spots are marked at the Main Street entrance. With this being my first official full time job with benefits, it has really turned around my outlook on personal growth and my life has changed so much. I am a real adult with more personal and professional responsibilities than ever before. It’s an adjustment with pros and cons, but a massive improvement overall! What satisfies me the most in my position here at the city is being able to help both English and Spanish speaking customers. Working for the city has helped me grow by giving me the confidence to get out of my comfort zone and trying new things after being a stay‑at‑home mom for 15 years. A team first mentality, I'd say that fits. They really do try and include every department in on, [sic] on‑going activities with the city. The City of Grandview is looking for a friendly, organized, and customer-focused Rental Services Coordinator to join the Parks & Recreation team at The View Community Center. This position serves as a primary point of contact for customers renting our event spaces—from the initial inquiry and booking process through event‑day coordination. You'll work directly with customers, staff, and maintenance personnel to make sure rental details are accurate, spaces are properly prepared, and guests receive excellent service. This is a great opportunity for someone who enjoys a combination of event coordination, customer service, administrative work, and hands‑on problem solving. What You'll Do As the Rental Services Coordinator, you will: Work directly with customers to book event and rental spaces. Prepare and review rental contracts and ensure information is complete and accurate. Answer questions and communicate with rental clients both in person and over the phone. Serve as the liaison between customers and maintenance staff to ensure event spaces are set up correctly. Coordinate event‑day check‑in and check‑out and make sure staff have the information they need for upcoming rentals. Serve as a Manager on Duty during evening and weekend shifts, assisting staff with building operations. Provide front desk coverage when needed. Build positive relationships with The View members, guests, rental customers, and staff. Help train new employees on front desk processes. Assist with daily Front Desk and KidZone operations. Respond to customer questions, concerns, and account issues. Assist with financial reconciliation, installment billing, and CivicRec database management. Assist with other Parks & Recreation programs and responsibilities as needed. We're Looking for Someone Who... The right person for this role is organized, approachable, dependable, and comfortable taking ownership of the details. You'll often be balancing multiple rentals, customer questions, administrative responsibilities, and facility needs at the same time. Strong candidates can prioritize competing demands, communicate professionally, work independently after receiving direction, and remain calm when plans change or an unexpected issue comes up. Because you'll be helping customers with events that are important to them, we're looking for someone who understands that great customer service goes beyond answering questions—it means following through and helping create a positive experience from booking through event day. Minimum Qualifications High school diploma or equivalent. Valid driver's license with a clean driving record. Ability to successfully complete background and reference checks. Preferred Qualifications We'd especially like to hear from candidates with: Two years of college‑level coursework in business administration, recreation, or a related field. Experience directing or overseeing staff and volunteers. Previous experience in a Parks & Recreation department or municipal government. Schedule & Availability This is not strictly a Monday–Friday, 8–5 position. Because this role supports facility rentals and special events, candidates must have the flexibility to work evenings and weekends, as well as occasional holidays when required for City events or meetings. Applicants should be comfortable with a schedule that reflects when our customers are using our facilities and hosting events. Physical & Work Environment This position combines administrative work with active event and facility support. Employees may spend extended periods working at a desk but may also frequently walk, stand, bend, reach, and move throughout the facility or event spaces. The position requires the ability to lift and carry items weighing up to 50 pounds, with assistance or appropriate equipment for heavier items.
