The Idaho Department of Fish and Game is seeking an Administrative Assistant 2 to provide support in the Fisheries Bureau. This position is stationed at our headquarters office, situated adjacent to the Boise Greenbelt, the MK Nature Center, and the Kristin Armstrong Municipal Park in Boise.

Responsibilities:
Manages the IDFG Fisheries Bureau's support staff work unit.
Provides administrative support and coordination for all Fisheries Bureau activities.
Trains, supervises, develops work plans, and evaluates performance of subordinate staff.
Responds to inquiries and explains department services, policies, procedures, and rationale for decisions to customers.
Approves invoices charged to some Fisheries Bureau accounts.
Formatting and printing Fisheries Bureau technical reports.
Formats, sends, and archives written communication from Fisheries Bureau staff.
Oversight and coordination of fishing tournament and scientific collection permits.
Composes letters, correspondence, and memos requiring independent judgment as to content.
Manages venue booking and meeting details for several annual meetings and events– statewide for Fisheries Bureau, including fee negotiation.
Reviews subordinates’ payroll timesheets for accuracy.
Arranges travel (airfare, lodging, transportation) for Fisheries staff statewide.
Manages office supply inventory and ordering.
Manages annual computer inventory - statewide for Fisheries.
Manages annual equipment inventory process – statewide for Fisheries.
Some overnight travel may be required to attend meetings.
Other duties as assigned.
Minimum Qualifications : (All qualifications listed below are required. To be considered for this position, applicants must meet the minimum experience and/or education standards as outlined in each of the typical qualification guidelines. Good knowledge of office support functions including word processing, filing, composing a variety of business documents, and reception. (Typically gained by at least one year of work experience performing complex secretarial, office administration, & public relations assignments such as coordinating administrative office functions, committees, special projects, & highly sensitive, confidential, and/or political issues; applying extensive knowledge of departmental programs & objectives; independently researching, compiling, & organizing materials for executives/managers use in problem resolution. Preparing reports, handling complaints or resolving problems; composing correspondence for executive/manager on own initiative using word processing; at least one year of work experience inserting or retrieving electronic and/or paper file materials using a subject matter or cross-reference filing system; at least one year of work experience writing and editing business correspondence using prescribed format, rules of punctuation, grammar and style; at least one year of work experience creating, formatting, editing, printing and storing straight text documents using a word processing software program; AND this work experience included using word processing software to create mass mailings using mail merge functions and creating documents using columns and tables to display text and data.
Good knowledge of researching, compiling, and summarizing data for reports. (Typically gained by at least one year of work experience that required independent research, compiling, developing, and summarizing material/data for reports on a frequent basis.)
Experience: interpreting, applying, and explaining complex information such as regulations, policies, or services. (Typically gained by at least one year of work experience interpreting and explaining complex information such as policies, procedures, regulations, or laws. This experience included explaining discrepancies or having to explain to others how the information applied to their specific situations. Decision making was controlled by established guidelines, and the work was reviewed regularly by a supervisor.)
Experience independently solving problems/performing liaison activities in a work setting. (Typically gained by at least one year of work experience in a setting that required problem solving and conflict resolution with dissatisfied individuals. This experience also required involvement in the decision-making process concerning solutions for dissatisfied individuals.)
Experience coordinating activities requiring complex arrangements. (Typically requires at least one year of work experience coordinating complex arrangements for at least one major activity which included two or more responsibilities such as: travel, registration, accommodation negotiations, coordinating volunteers, audiovisual support, coordinating/selecting speakers, planning meals, designing forms, publicity, and entertainment.)
Minimum Qualification Specialty Areas: (The qualifications listed below are required for the current opening at the Idaho Department of Fish and Game. To be considered for this position, applicants must meet the minimum experience and/or education standards as outlined in each of the typical qualification guidelines.)
- Some knowledge of supervisory practices. (Typically gained by successful completion of a class or seminar (of more than one day) specifically covering supervisory practices or the elements of supervision; OR completion of a college-level personnel related course covering supervisory practices; OR lead work experience that involved work assignment, direction, and monitoring of staff (such experience on a fill-in basis is non-qualifying unless for a period equivalent to a minimum of three months or more - they do not have to be consecutive months.))
The ideal candidate will have a strong interest in serving the mission of the Idaho Department of Fish and Game, and will have knowledge and an appreciation for hunting, fishing, and trapping activities. Additional consideration may be given at the time of interview to candidates who have some knowledge or experience in hunting, fishing, and trapping.
