Job Requirements:

  • Manage complex calendar for several executives
  • Manage calendars pro-actively / solve problems in case of meeting conflicts
  • Continuous review and prioritization of executive's email and other correspondence
  • Maintain presence and connection with executives' direct reports and respective team
  • Arrange and coordinate complex international and domestic travel arrangements including visa applications
  • Coordinate and arrange meetings and schedules
  • Schedule conference calls, Telepresence meetings, on-site and off-site meetings, and webcasts
  • Plan, organize and coordinate logistics (travel, hotel, catering,) for off-site meetings, conferences, events
  • Answer and screen telephone calls as needed
  • Maintain electronic records and SharePoint / Teams sites
  • Manage sensitive and proprietary information with discretion and confidentiality
  • Assist and provide coverage for other administrative assistants, as needed
  • Submit Expense Reports
  • Review expense reports before approval
  • Support and track approvals for travel requests, purchase requisitions, CERs
  • Create PowerPoint presentations
  • Maintain organizational charts for the global teams
  • Support employee engagement activity logistics
  • Type, edit and proofread documents and correspondence
  • Draft correspondence, edit documents and take minutes/action items from the meetings
  • Follow-up on meeting minutes or action items with the action owner, monitor progress and flag deviations
  • Support onboarding of new employees
  • Organize office and files
  • Other business/administrative requirements from an SLT Member
  • Collaborate with executive and senior-level administrative assistants to address requests and priorities from senior leadership for site support

What your background should look like:

  • Bachelor's degree
  • 7+ years in an administrative capacity in a large corporation, ideally in a global environment with a complex matrix structure; Executive Assistant's experience preferred
  • Proven track record of working independently, prioritizing tasks, handling multiple assignments accurately
  • Above average written and verbal communication skills required; fluency in English
  • Strong skills in Microsoft Office suite Outlook, Word, Excel and PowerPoint
  • Strong knowledge of office management systems, procedures, and best practices
  • Familiarity with standard office equipment and digital tools
  • Exceptional attention to detail and strong problem-solving abilities
  • High level of professionalism, integrity, and discretion in handling confidential information
  • Strong customer service orientation and ability to interact effectively with internal and external stakeholders at all levels
  • Demonstrated ability to work well under pressure in a fast-paced environment
  • Proactive, responsive, and resourceful, with the ability to work independently and anticipate needs
  • Tech-savvy, with the ability to research and analyze information effectively
  • Comfortable navigating complexity and ambiguity with a solution-focused mindset

Compensation:

  • Competitive base salary commensurate with experience: $86,600 $129,900 (subject to change dependent on physical location)
  • Total Compensation = Base Salary + Incentive(s) + Benefits
