Geocal is seeking a Proposal Coordinator to help develop and submit marketing proposals and to provide administrative assistance to proposal managers. They are expected to use word processing software like MS Office Suite and graphic software like Adobe InDesign® to create presentations, cut sheets, and organize proposal content.  They will work with marketing and business personnel and take the lead in proposal development that is consistent with industry standards. 

Job Description  

The Proposal Coordinator works with staff and management to produce business proposals, presentations, and social media. The ideal candidate is a self-motivated, detail-oriented, creative professional with proven writing, communication, and task management skills, who can produce high-quality business documents under tight deadlines. 

Requirements  

• Prepare professional, well-planned, and creative business proposals in response to client Request for Proposals (RFPs) and Request for Qualifications (RFQs). 
• Write and develop comprehensive engineering proposals, including written text, page layout and formatting. 
• Collaborate with proposal team, technical staff, and management to outline, rewrite, edit and format proposals that fully complies with customer requirements. 
• Ensure proposal processes are followed according to industry standards and documents are submitted in accordance with established guidelines. 
• Communicate proposal-related requirements and status with senior management, as appropriate. 
• Support production, reproduction, binding/packaging, and distribution of hard/soft copies proposals and other marketing documents. 
• Support accuracy, timeliness, compliance, and overall quality of all assigned proposals and projects 
• Write internal project resumes for selected personnel and update employee experience on a regular basis. 
• Maintain marketing information and tracking systems, including project descriptions. 
• Use company templates and brand standards to produce high quality, consistent marketing materials. 
• Establish and maintain electronic and/or hard copy files, regularly review files for organization and applicability. 
• Performs other administrative duties as assigned. 

Minimum Qualifications  

• B.A./B.S. in Business, Marketing, Communications, English, Technical Writing, Journalism, Strategic Communication, or a related field. 
• 0-10 years of experience of related work experience as a Proposal Writer or similar role. 
• Previous experience in business or technical writing. 
• Advanced proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint, and Publisher), Adobe Acrobat, Proficiency in document formatting and desktop publishing techniques. 
• Demonstrated solid technical writing, editing and proofreading skills. Writing samples required. 
• Ability to effectively prioritize and complete multiple concurrent projects. 
• Strong interpersonal, written, and oral communication skills. 
• Ability to work effectively independently or as part of a team. 
• Highly organized and self-starting. 

Preferred Qualifications  

• Previous experience in writing business proposals for Engineering/construction projects strongly preferred. 
• Previous experience with Adobe InDesign®. 
• Keen eye for detail and skills in compliance, style, and consistency throughout written documents, with emphasis on accuracy and quality. 
• Strong interpersonal, written, and oral communication skills.
