Job Description
The Administrative Associate provides advanced administrative support to a busy team, drawing on 6-10 years of experience to keep operations running smoothly and processes highly efficient. This role independently manages complex calendars and schedules, coordinates meetings and events, prepares high-quality documents and presentations, and supports decision-making through research and reporting. The Administrative Associate handles confidential information with discretion, assists with budget and expense activities, and serves as a key point of contact for internal and external stakeholders.
Responsibilities
This position is based onsite at a power generation facility, providing direct support to team members in an operational environment. The role requires working on location during standard business hours as defined by the facility, with potential variations based on operational needs. The setting is dynamic and fast-paced, with regular interaction with staff across different functions. You will work primarily in an office area within the facility, using standard office equipment and Microsoft Office Suite to perform daily tasks.

Pay and Benefits
The pay range for this position is $25.00 - $28.00/hr.

The Administrative Associate handles confidential information with discretion, assists with budget and expense activities, and serves as a key point of contact for internal and external stakeholders.
Responsibilities
- Provide advanced administrative support to the team to ensure smooth day-to-day operations and efficient processes.
- Independently manage calendars, schedules, and appointments for team members, optimizing time management and prioritizing critical tasks.
- Coordinate and organize meetings, conferences, and events, including logistics, room or facility arrangements, agendas, and follow-up actions.
- Prepare, format, and edit documents, reports, presentations, and correspondence with a high degree of accuracy and professionalism.
- Record and distribute meeting agendas and meeting minutes in a timely and organized manner.
- Conduct research, gather data, and compile reports to support decision-making and strategic planning.
- Handle sensitive and confidential information with the highest level of discretion and professionalism.
- Assist with budget management, including expense tracking, invoice reconciliation, and financial reporting in line with organizational policies.
- Serve as a primary point of contact for internal and external stakeholders, providing clear, courteous, and timely communication.
- Deliver excellent customer service to team members and visitors, addressing inquiries and resolving issues promptly.
- Maintain organized administrative systems and records to support efficient information retrieval and reporting.
- Support general administrative tasks as needed to contribute to the overall effectiveness of the team.
- 6-10 years of experience providing advanced administrative support in a professional environment.
- Proven ability to independently manage calendars, schedules, and appointments for multiple team members.
- Strong experience coordinating meetings, conferences, and events, including logistics, agendas, and follow-up actions.
- High level of proficiency with Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook.
- Demonstrated ability to prepare and edit documents, reports, presentations, and correspondence with strong attention to detail.
- Experience recording and managing agendas and meeting minutes.
- Strong administrative support and administrative assistance skills, including organization and time management.
- Experience with budget support, expense tracking, and financial reporting.
- Ability to perform invoice reconciliation accurately and efficiently.
- Excellent customer service and interpersonal skills, with the ability to interact effectively with internal and external stakeholders.
- Proven ability to handle sensitive and confidential information with discretion.
- Strong written and verbal communication skills.
- Effective timekeeping and ability to manage multiple priorities in a fast-paced environment.
- Experience working in a complex operational or industrial setting is beneficial.
- Demonstrated ability to support decision-making and strategic planning through research and data compilation.
- Strong problem-solving skills and the ability to anticipate team needs.
- High level of professionalism, reliability, and accountability.
- Ability to work both independently and collaboratively as part of a team.
