This is an exciting opportunity in the rapidly expanding Downtown Los Angeles market. Position Summary
The Conference Services Manager serves as the primary liaison between clients and hotel departments for all group and event-related business following the sales process. This position is responsible for the successful planning, coordination, communication, and execution of group room blocks, meetings, conventions, and catered events while ensuring an exceptional guest experience and maximizing hotel revenue opportunities.
Primary Responsibilities
• Serve as the primary contact for group clients and event planners from turnover through post-event follow-up.
• Manage all aspects of group room block administration, including block creation, monitoring pickup, managing cut-off dates, processing rooming lists, inventory adjustments, auditing rates, and communicating group changes with Revenue Management and Front Office teams.
• Coordinate and communicate all group and event requirements with hotel departments to ensure seamless execution and guest satisfaction.
• Prepare and distribute Banquet Event Orders (BEOs), convention resumes, group resumes, rooming lists, and detailed event documentation accurately and timely.
• Conduct pre-convention, planning, and post-convention meetings with clients to review event details, billing, service levels, and overall satisfaction.
• Monitor group pickup, attrition, and forecasting to maximize room revenue and minimize inventory risk.
• Partner closely with all cross-functional departments to ensure operational readiness for all events and group arrivals.
• Oversee event execution on-site and respond promptly to client requests, operational changes, and service recovery opportunities.
• Coordinate VIP arrivals, special requests, transportation needs, and amenities for group guests.
• Assist in managing billing details, master accounts, deposits, direct billing arrangements, and final invoice accuracy.
• Recommend and coordinate outside vendors and services as needed for successful event execution.
• Ensure compliance with hotel standards, service expectations, and operational procedures.
• Maintain accurate client and event information within Delphi/Amadeus systems and other hotel software platforms.
• Support sales initiatives by cultivating strong client relationships that encourage repeat business and referrals.
Qualifications & Experience
• Minimum 2–4 years of hotel conference services, catering, event management, or group sales coordination experience preferred.
• Strong experience managing group room blocks and convention-related operations.
• Expert experience with Amadeus Delphi account management is preferred but at a minimum intermediate experience is required.
• Knowledge of Opera PMS and Micros systems preferred.
• Excellent written and verbal communication skills.
• Exceptional organizational skills with the ability to manage multiple events, deadlines, client communication, A/V coordination, vendor relationships and operational cadence simultaneously while maintaining a high level of accuracy and client service.
• Strong problem-solving, negotiation, and relationship-building abilities.
• Ability to work flexible schedules including evenings, weekends, and holidays based on business demands.
• College degree preferred.
