Job Title: Legal Assistant – Insurance Reimbursement Team Schedule: Monday – Friday, 8:00 AM – 5:00 PM (or 8:00 AM – 4:30 PM with a 30-minute lunch) Pay Rate: $23.00 – $25.00 / hour About the Role We are seeking a detail-oriented, highly proactive Legal Assistant to join our growing Insurance Reimbursement team. In this frontline insurance-operations role, you will manage administrative tasks tied to active health plan subrogation, subrogation liens, and third-party liability (TPL) recovery cases. You will be responsible for keeping high-volume claim portfolios moving smoothly toward resolution, serving as a key point of contact for external stakeholders, and ensuring all documentation is accurately audited and logged before cases reach senior paralegals and attorneys for negotiation. Key Responsibilities Portfolio & File Management: Manage and organize active health plan recovery and insurance claim files to keep them moving smoothly toward resolution; log real-time updates in tracking systems. Inbound Communications: Serve as the primary contact for inbound calls and emails, answering inquiries regarding third-party liability claims, liens, and coverage. External Stakeholder Coordination: Professionally interface with plaintiff attorneys, insurance adjusters, carriers, third-party administrators (TPAs), and claim representatives. Documentation & Audit: Send out formal notices (including lien notices) and diligently follow up on missing paperwork, documentation requests, or pending file materials. Audit case packages to flag coverage/liability gaps prior to settlement negotiations. Payment Tracking & Escalation: Track incoming reimbursement payments to support team responsiveness standards and escalate processing delays to management when necessary. Required Qualifications Education / Experience Baseline: Associate degree OR at least 4+ years of direct, equivalent industry experience. Industry Background: Minimum 2+ years of professional experience handling insurance claims, health plan operations, subrogation, third-party liability (TPL), workers' compensation, or auto liability. Stakeholder Interfacing: Proven experience working directly with insurance carriers, TPAs, or liability insurers. Volume Handling: Demonstrated ability to manage and organize a high volume of complex data sheets or claim files in a fast-paced environment. Communication: Exceptional verbal and written communication skills with experience handling professional phone and email queues. Preferred Qualifications Prior experience working directly in healthcare reimbursement, payer, or subrogation-specific environments. Familiarity with major Electronic Medical Records (EMR) systems or healthcare claims databases. Why Join Us?
