Required License Or Certification n/a Position Overview Primary Purpose Of Position The Executive Assistant to the Provost provides high-level administrative leadership supporting the operations of the Office of the Provost and the Division of Academic Affairs. This position functions as a trusted and key liaison to the Deans and oversees the strategic planning and execution of special events and engagements for the Provost. Responsibilities include serving as secretary to the Dean’s Only and Deans Council by overseeing meeting preparation, coordination, facilitation, and the accurate documentation of all proceedings. The Executive Assistant, in collaboration with the Special Assistant, assists in the planning and execution of Academic Affairs retreats and leadership engagements. The role prepares high quality professional correspondence, reports, and other documents as designated by the Provost and functions as the principal liaison between the Provost and the academic Deans. Additional responsibilities include serving as the primary contact for the planning, organization, and execution of Provost level special events; initiating and processing requisitions for vendor payments, memberships, subscriptions, and event related expenditures; and acting as the Provost’s proxy for the review and approval of monthly leave reports and requests for identified direct reports. The position also serves as the primary backup to the Special Assistant to the Provost. Primary Function Of Organizational Unit The Division of Academic Affairs is one of the primary administrative divisions within North Carolina Agricultural and Technical State University and is led by the Provost and Executive Vice Chancellor for Academic Affairs, who serves as the university’s chief academic officer. Academic Affairs provides leadership and oversight for the university’s academic enterprise, including a comprehensive portfolio of undergraduate, graduate, and professional programs delivered through nine colleges and additional academic units and schools. These include the College of Agriculture and Environmental Sciences; College of Arts, Humanities and Social Sciences; Willie A. Deese College of Business and Economics; College of Education; College of Engineering; John R. and Kathy R. Hairston College of Health and Human Sciences; College of Science and Technology; the Graduate College; and the Joint School of Nanoscience and Nanoengineering, a collaborative initiative with UNC Greensboro. In addition to the colleges, the Division of Academic Affairs oversees a broad range of academic support units and strategic initiatives that advance teaching, learning, student success, and institutional effectiveness. These include, but are not limited to, Library Services; the Office of Strategic Planning and Institutional Effectiveness; academic budget and personnel administration; Enrollment Management functions such as the Offices of the Registrar, Financial Aid, and Admissions; New Student Programs; the Center for Teaching Excellence; the Center for Academic Excellence; Distance Education and Extended Learning; the Office of International Affairs; ROTC programs; and other academic support and engagement units that contribute to the university’s academic mission. The Division of Academic Affairs serves as the intellectual and strategic core of the university, committed to fostering excellence in teaching, research, and public service. On-site (Employees are primarily in the office and/or have a critical job requirement that requires dedicated office space on-site) Key Responsibilities and Related Competencies Required Competency Work Coordination/Planning Lead the planning, prioritization, and execution of complex administrative operations that support the Provost and advance Academic Affairs initiatives. Manage executive scheduling and high level meeting coordination with discretion and sound judgment, resolving conflicts and ensuring alignment with university policies and priorities. Serve as a central coordination and communication hub, partnering with deans, senior leaders, and campus units to support retreats, councils, advisory boards, and cross unit initiatives. Prepare executive level materials, coordinate meeting logistics, and ensure timely follow through on action items while anticipating and addressing workflow challenges. Required Competency Communication - Verbal/Written Leads development of high level correspondence, reports, presentations, and executive meeting materials; independently researches and analyzes data to produce strategic, decision ready insights for the Provost. Supports leadership on messaging strategy, represents the Provost’s Office in communications with deans, and ensures accurate, timely, and strategic information flow across Academic Affairs. Proactively initiates communications aligned with institutional priorities; anticipates executive needs and prepares polished materials for review and dissemination. Collaborates with the Director of Communication, Special Assistant to the Provost and communications partners to support digital presence, branding, and coordinated executive messaging. Required Competency Problem Solving/Decision Making/Crisis Management Anticipates potential scheduling, logistical, and operational challenges affecting the Provost and Executive Vice Chancellor for Academic Affairs, and proactively develops solutions to maintain executive effectiveness and continuity. Resolves complex administrative issues involving multiple internal and external stakeholders by facilitating coordination and consensus. Exercises independent judgment in navigating sensitive situations, competing priorities, and confidential matters, ensuring sound decision making and alignment with institutional expectations. Collaborates routinely with campus leaders and organizational partners to implement efficient, sustainable solutions that support the strategic and operational needs of the Provost’s Office. Required Competency Program Knowledge Provides direct, high level administrative support to the Provost and Executive Vice Chancellor for Academic Affairs, applying deep knowledge of institutional policies, protocols, and executive priorities to guide actions and resolve complex issues. Demonstrates substantive understanding of the university’s mission, academic structure, governance processes, and strategic priorities to support the scope and complexity of Academic Affairs operations and commitments. Serves as a trusted liaison between the Provost’s Office, deans, and senior administrators; collaborates with internal and external constituents to prepare briefings, reports, and meeting materials as needed. Interprets policies, procedures, and institutional expectations to support executive decision making, while adapting quickly to the Provost’s priorities, communication style, and protocol requirements. Required Competency Technical Knowledge Applies advanced proficiency with higher education technology systems—enterprise platforms, teleconferencing tools, learning management systems, web based and graphic applications, cloud solutions, and productivity software—to support executive operations and coordinate key activities for the Provost’s Office. Uses a range of digital systems and collaboration tools to facilitate executive work, enhance communication, and support high visibility institutional projects. Identifies, recommends, and implements technology driven solutions that improve workflow efficiency, reporting accuracy, and information sharing across Academic Affairs. Serves as a resource to leadership on effective use of digital tools for communication, coordination, data presentation, and executive decision making.
