Construction Office Assistant

About Us

We are a local fuel construction company specializing in government, county, and municipal projects. We are seeking a dependable and detail-oriented Office Assistant to support our daily operations. This position plays an important role in helping maintain accurate records, process financial documents, and support project documentation and administrative functions.

The ideal candidate is organized, self-motivated, able to work independently, and comfortable managing multiple priorities in a fast-paced environment.

Responsibilities

  • Enter vendor bills and create invoices in QuickBooks Desktop
  • Assist with the preparation, organization, and submittal of project documentation and contract submittals
  • Manage incoming emails and correspondence
  • Maintain electronic and paper filing systems
  • Create, update, and maintain spreadsheets using Microsoft Excel
  • Prepare documents using Microsoft Word and Adobe
  • Track project deadlines and required submissions
  • Assist with employee onboarding paperwork and other HR-related administrative tasks as needed
  • Support management and office staff with various administrative projects
  • Maintain accurate and organized company records
  • Handle confidential employee, financial, and project information with professionalism and discretion
  • Perform other duties as assigned to support office and project operations

Qualifications

  • Previous office, administrative, or clerical experience preferred
  • Proficiency in QuickBooks Desktop REQUIRED
  • Adobe and Google Workspace experience preferred
  • Intermediate knowledge of Microsoft Office, including Excel (REQUIRED), Word, and Teams 
  • Strong organizational and time management skills
  • Ability to work independently and prioritize workload effectively
  • Excellent attention to detail and accuracy
  • Strong written and verbal communication skills
  • Ability to maintain confidentiality and exercise discretion when handling sensitive information
  • Construction office experience is a plus
  • Experience with government, municipal, or county contract paperwork is a plus
  • HR experience is helpful but not required

Compensation & Benefits

  • Competitive pay based on experience
  • Paid Time Off (PTO) available after one year of employment

Schedule

  • Full-Time
  • Monday–Friday
  • 8 hr workday
