Registration and Transfer Specialist

Compensation: $19.65 per hour. Compensation Type: Non-Exempt. Employment Type: Regular. Grade: NE08. Position Summary This position performs technical and customer service duties to assist in the college’s advising, student registration and records management processes. Major Duties Receive, process and analyze incoming student transcripts, including international and military transcripts. Review and record prior learning credentials (AP, CLEP, IB, TEEX, etc.). Research and verify institutional accreditation. Compile and calculate quarter hour courses for semester hour credit. Analyze, process and post equivalent transfer coursework; prepare transfer evaluation reports. Manage and process transfer credit appeals. Review, research, and process course substitutions based on transfer credit. Maintain Transcript Equivalency System with College Source. Complete degree and enrollment verification requests. Process transcript requests and resolve issues with third‑party systems. Enter grades and process grade changes; manage and enter grades into military system. Understand, explain, and follow FERPA relating to student records. Provide forms and instructions to students and enter release information into computer system. Provide customer service: answer telephone, greet visitors, provide information and assistance, refer to appropriate personnel, take messages, and make appointments. Record, register, drop, and withdraw students from classes; enter withdrawal grades as appropriate, troubleshoot and resolve registration error codes and billing issues due to data entry errors. Provide instructions and guidance on way finding on the website; assist students in registering for classes; resolve issues with student records. Sort and file completed paper documents in preparation for scanning; scan and index documents. Perform related duties. Knowledge Required by the Position Knowledge of modern office practices and procedures. Knowledge of college and department policies and procedures. Knowledge of college admissions and residency requirements. Knowledge of computers and job‑related software programs. Skills Decision‑making and problem‑solving. Prioritizing and organizing work. Interpersonal relations and working with the public. Oral and written communication. Working effectively with a wide range of constituencies in a diverse community. Supervisory Controls The Registrar assigns work in terms of general instructions. The supervisor spot‑checks completed work for compliance with procedures, accuracy, and the nature and propriety of the final results. Guidelines Guidelines include college and department policies and procedures. These guidelines are generally clear and specific, but may require some interpretation in application. Complexity / Scope of Work The work consists of related technical and customer service duties. Strict regulations contribute to the complexity of the position. The purpose of this position is to perform technical duties and customer service to assist with the college’s student advising, registration, and records management processes. Successful performance contributes to the efficiency and effectiveness of inter‑departmental operations. Contacts Contacts are typically with co‑workers, other college employees, students, and the general public. Contacts are typically to give or exchange information, resolve problems, and provide services. Physical Demands / Work Environment The work is typically performed while intermittently sitting, standing, stooping or walking. The employee occasionally lifts light objects. The work is typically performed in an office. Minimum Qualifications Associate degree required. Demonstrated knowledge, technical skills, and professional competencies typically acquired through specialized education and training in a related field. One to two years of relevant experience, or completion of an apprenticeship or internship, demonstrating an understanding of the fundamental principles and responsibilities associated with the position.
