General Summary of Job Duties: The Executive Operations Assistant provides high-level administrative and strategic support to executive leadership entity, playing a key role in advancing organizational priorities and special initiatives. This position is responsible for managing complex schedules, coordinating communications, and supporting the planning and execution of projects that drive business objectives across different organizations. This role also provides support to affiliated organizations within the broader enterprise, ensuring alignment, consistency, and effective coordination across multiple entities. The Executive Operations Assistant acts as a central point of contact, managing sensitive information with discretion while facilitating collaboration, tracking project progress, and ensuring timely completion of key deliverables. Principle Responsibilities and Duties: Manage calendars, scheduling, and meeting coordination for multiple executives. Track priorities, deadlines, and follow-ups across appropriate leadership teams. Prepare agendas, notes, and action items. Serve as a central point of coordination across BattleBots, Silverton, and other related ventures. Organize projects, communications, and workflows across multiple stakeholders. Improve internal organization systems and processes. Support sponsorship outreach, materials, and partner communication for BattleBots. Help coordinate television/media-related logistics and communications for BattleBots. Coordinate executive communications, including managing project-related correspondence and liaising with internal teams and external industry partners. Manage the assigned executive's calendar, including scheduling meetings and appointments, and coordinating all travel logistics. Execute and support a wide range of tasks, projects, and strategic initiatives on behalf of the assigned executive(s), collaborating with the executive team and internal and external stakeholders. Prepare, compile, and distribute meeting agendas and minutes, ensuring accuracy and timely follow-up. Develop and maintain project plans, ensuring all materials and documentation are organized, up-to-date, and readily accessible to the assigned executive. Review, analyze, and prioritize project tasks, communications, and reports to determine significance and facilitate appropriate distribution to leadership. Maintain organized and efficient document management systems, with a preference for electronic filing methods. Plan and monitor project timelines and task dependencies using appropriate project management tools and software. Demonstrate the ability to work independently with minimal supervision while effectively managing multiple priorities. Other duties as assigned. Thorough knowledge of applicable Company and departmental policies and procedures as well as the willingness to learn and follow any policy or procedure that may be introduced in the future. Adhere to all appearance and uniform standards. Maintain an open line of communication with coworkers. Maintain a positive and professional demeanor during all interactions with Guests, fellow Team Members, and Vendors. Ability to accept performance feedback in a professional manner. Hours will vary depending on business needs. This includes frequent availability for a few hours on weekends (Saturdays and Sundays), with flexibility to shift time off to weekdays (such as Mondays, Tuesdays, or Wednesdays etc.) Regular attendance on all scheduled shifts is considered an essential function of the job. Arriving on time for all scheduled shifts is considered an essential function of the job. Skills, Education, & Other Requirements: 3+ years as an executive assistant, operations coordinator, or similar role. Exceptional organizational and multitasking ability. Strong communication skills (written and verbal). Ability to manage multiple priorities across different businesses. Proactive, resourceful, and comfortable with ambiguity. Experience in hotel casinos, entertainment, sports, or media is a plus. Required Work Cards: Identification that establishes identity.
