We are seeking a Client Accounting Supervisor to join our Firm. This position will be based in our Chicago office (hybrid). The role entails supervising the daily activity of department personnel and ensuring operating needs are met. The supervisor provides problem‑solving assistance, participates in large department projects, and offers suggestions to improve the entire client accounting process. Responsibilities Facilitate optimal day‑to‑day operations of all department functions, including developing local workflows and guidelines, and ensuring accurate, timely responses for departmental services. Coordinate and oversee department projects, day‑to‑day operations, and long‑range plans; recommend and implement changes and improvements in methods and procedures to higher‑level management. Ensure billing staff follow through with assigned Billing Partners to complete billing actions, assist partners with billing and collection challenges, and prepare client bills with complex or customized charts and reports. Collect accounts receivable and support effective billing/collections strategies by analyzing reports, identifying trends, and meeting with partners to discuss goals, issues, and objectives. Communicate professionally with internal and external clients, including handling unpaid bills and partial payments or on‑account payments on behalf of partners. Build strong working relationships across the department to maximize collections processes and conduct monthly reviews of partner investment reports. Provide daily oversight of assigned business services professionals: define performance expectations, monitor performance, delegate assignments, resolve conflicts, and guide problem resolution. Use the Firm’s performance management process to communicate expectations, coach employees, and manage unsatisfactory performance; prepare performance evaluations and recommend salary increases where applicable. Recommend and participate in disciplinary procedures; initiate disciplinary procedures in collaboration with Human Resources and/or Firm management. Advise employees on timely escalation of critical and/or sensitive billing matters; handle complex/sensitive matters requiring independent discretion and judgment. Participate in interviewing, selection, and training processes. Recommend guidelines and practices that promote efficiency, effectiveness, excellent customer service, and improved employee relations aligned with the Firm’s Core Values. Communicate and administer departmental policies and procedures consistently with the Firm’s philosophy; develop and communicate departmental guidelines/procedures. Ensure current knowledge of Firm policies and practices, industry trends, and continued professional development for business services professionals. Monitor time, attendance, overtime, and expense reports for accuracy and compliance with Firm policies. Develop and monitor budget for assigned department (where applicable). Demonstrate effective interpersonal, written, and verbal communication skills to facilitate effective work relationships with others. Manage Firm resources responsibly and comply with and understand Firm operations, policies, and procedures. Perform other related duties as assigned. Qualifications Knowledge of Client Accounting best practices, trends, and techniques. Proficiency with relevant Firm computer software programs (e.g., Outlook, Excel, PowerPoint); ability to learn new software and operating systems. Strong interpersonal, written, and verbal communication skills; ability to provide excellent customer service and build effective working relationships. Close attention to detail; strong analytical, troubleshooting, organizational, and planning skills. Ability to effectively supervise others; organize, prioritize, delegate, coach, and use problem‑solving techniques. Ability to administer Firm policies and procedures; handle sensitive matters and maintain confidentiality; use discretion and independent sound judgment. Ability to handle multiple projects with shifting priorities; work well in a demanding, fast‑paced environment; work independently and within a team (including acting as a role model). Knowledge and implementation of the annual budget process (where applicable). Flexibility to travel, adjust hours, and work the hours necessary to meet operating and business needs. Education and Experience Bachelor’s degree; minimum of six (6) years of client accounting (billing) and/or related financial experience in a law firm or professional services firm environment, including experience with Aderant or similar accounting software applications; minimum of two (2) years of supervisory or leadership experience.
