Programming & Development Specialist

Role Purpose:
The Programming & Development Specialist provides hands-on coordination and administrative support across Victoria’s Victory Foundation’s programs, development activities, and organizational projects. This role helps ensure that programs are delivered efficiently, donors and funders receive timely follow-up, administrative responsibilities are completed accurately, and organizational priorities continue moving forward.

Key Responsibilities

Program Support & Coordination

• Support the administration and coordination of VVF programs, including the Victory Scholarship and Resource Navigator Program.
• Prepare, track, and manage scholarship contracts and related documentation.
• Coordinate scholarship fulfillment, including communication with recipients, vendors, and partners.
• Maintain program calendars, deadlines, and follow-up schedules.
• Track outstanding program tasks and help ensure commitments are completed on time.
• Assist with program data collection, reporting, and impact tracking.
• Identify administrative improvements that make program delivery more efficient.

Development & Fundraising Support

• Conduct donor, foundation, corporate, and grant research.
• Support foundation and corporate outreach and maintain follow-up schedules.
• Assist with grant prospect research, application preparation, and reporting.
• Support donor communications, acknowledgments, records, and stewardship activities.
• Maintain development calendars, deadlines, and prospect tracking.
• Assist with fundraising campaigns, sponsorship outreach, and special projects.

Organizational Operations

• Manage and coordinate team calendars and key organizational deadlines.
• Process invoices and coordinate payments with appropriate internal approvals.
• Maintain organized electronic files, contracts, records, and documentation.
• Coordinate meetings and follow-up items as needed.
• Support the CEO and team with administrative and organizational priorities.
• Help keep cross-department projects on schedule by tracking action items and deadlines.

Cross-Functional Project Support

• Serve as a central point of coordination between programs, development, leadership, vendors, and external partners.
• Monitor projects from initiation through completion.
• Identify outstanding items, communicate needed follow-up, and help remove administrative barriers.
• Assist with implementation of new systems, technology, processes, and organizational initiatives.

Qualifications:

• 2-4 year’s cross functional project coordination experience, working in a team environment
• Excellent interpersonal and communication skills.
• Organized to oversee several projects at once.
• Excellent computer literacy.
• Professional telephone and email etiquette.
• Healthcare or non-profit / cause related experience a plus

Work Environment / Physical Requirements: 

• This full-time position is in Stratham, NH.
• Maintain a regular office presence to provide in-the-moment and visible support to team members.
• Training will be provided for internal programs used.
