POSITION SCOPE & SUMMARY
The Program Administrator plays a critical role in supporting the success of CFUF’s Practitioners’ Leadership Institute (PLI). Blending project coordination, administrative leadership, and cross-functional collaboration, the Program Administrator helps drive program efficiency, supports compliance and reporting efforts, and strengthens relationships with internal and external stakeholders.
The PLI Academy is a cohort-modeled fellowship program designed to equip diverse leaders in the Baltimore area with tools to expand their network, leadership capacity, and expertise. This role is ideal for a highly organized, detail-oriented professional who thrives in a fast-paced, mission-driven environment.
Additionally, this position’s broader responsibilities include:
- Coordinating program operations, events, and cross-team initiatives
- Managing communications and engagement with stakeholders and partners
- Supporting reporting, compliance, and audit preparation processes
- Maintaining program documentation, calendars, and data tracking systems
- Strengthening collaboration across program teams to drive member outcomes
WHAT TO EXPECT FROM THIS OPPORTUNITY
- Ensure alignment, collaboration, and timely execution of key initiatives
- Serve as the operational project manager for program events, outreach efforts, and cross-team initiatives
- Coordinate logistics and collaboration
- Develop and maintain a comprehensive internal calendar, including grant reporting deadlines, renewals, program events, and key milestones
- Manage communications with key internal and external stakeholders, including community partners
- Serve as the administrative lead for internal and external audits, including compiling and organizing required documentation
- Act as liaison to the Grants Compliance Manager by coordinating documentation and ensuring submission readiness
- Maintain accurate and up-to-date program records, both electronically and in hard copy
- Support account management tracking and ensure all activities are properly documented
- Participate in team meetings and contribute to program strategy development and continuous improvement efforts
- Support DHS and SNAP E&T activities, including tracking deliverables and maintaining accurate time and effort reporting
- Coordinate program-related staff events and team engagements in collaboration with operations staff
- Work collaboratively across teams to support positive member outcomes
All activities must support the Center for Urban Families’ (CFUF) strategic goals and objectives and produce the results that meet the mission of the Department of Advocacy and Strategic Initiatives.
QUALIFICATIONS

- Bachelor’s degree preferred; equivalent experience will be considered
- Minimum of 3 years of experience in an administrative, program coordination, or operations role
- Experience working with underserved or disadvantaged populations in workforce development or human services settings preferred
- Strong organizational and project coordination skills with the ability to manage multiple priorities
- Proficiency in Microsoft Office Suite (Excel, Outlook, Word) required
- Experience with data tracking systems or electronic databases (e.g., ETO, Apricot) preferred
- Basic knowledge of budget tracking or financial processes a plus
- Ability to maintain confidentiality and handle sensitive information with discretion
- Strong written and verbal communication skills

- Written and Verbal Communication: Strong writing skills, including the ability to prepare briefs, reports, memos, and summaries. Displays comfort in presenting findings clearly and concisely to various audiences
- Attention to Detail: Produces accurate and well-documented research outputs. Diligent in checking sources and citations for consistency and reliability
- Familiarity with Policy Processes: Basic understanding of public policy formulation, implementation, and evaluation. Interest in legislative or regulatory affairs, government operations, or nonprofit advocacy
- Technical Proficiency: Proficient in Microsoft Office, including Outlook, Word, Excel, and PowerPoint
- Team Collaboration: Works well in collaborative environments and contributes to group research efforts. Open to feedback and able to incorporate it constructively
- Ethical Research Practices: Understands and follows ethical standards in data collection and reporting. Respects confidentiality and intellectual property
- Commitment to Learning and Public Service: Enthusiastic about learning new policy areas and research methods. Demonstrates a passion for public policy and making an impact through evidence-based work
- Excellent organizational, verbal, and written communication skills
Schedule: Monday through Friday, 9 AM to 5 PM—this position offers one day of remote work per week
