Implant Coordinator Registered Nurse

The Implant Coordinator Registered Nurse provides direct, patient-centered nursing care while serving as the clinical lead for the safe, compliant management of biological and non-biological implants. The role coordinates implant-related processes from procurement and inventory management through implantation, electronic health record documentation, post-procedure reconciliation, replacement, billing, and ongoing monitoring. Working closely with clinical services, Supply Chain Management, Prosthetics and Sensory Aids Service, Sterile Processing Service, vendors, and other interdisciplinary partners, the Implant Coordinator ensures implants are available when needed and managed in accordance with VA/VHA policy, manufacturer requirements, and established clinical guidelines.

Responsibilities include:

• Ensure compliance with all VA and VHA policies, directives, procedures, and documentation requirements governing biological and non-biological implant management.
• Maintain appropriate access to the electronic health record (EHR) and other required systems to investigate, resolve, and document implant-related issues.
• Establish, maintain, and monitor a manual or automated tracking system for biological implants from the vendor or distributor through patient implantation.
• Provide or coordinate local training for staff who use implant-tracking systems, ensuring they understand required workflows, documentation, and accountability standards.
• Coordinate implant-management activities with Supply Chain Management (SCM), Prosthetics and Sensory Aids Service (PSAS), Sterile Processing Service (SPS), VHA Central Office, surgical and procedural services, and other clinical departments.
• Ensure clinical service personnel accurately document all biological and non-biological implants in the EHR at the time of implantation.
• Reconcile implants used during procedures with VA-owned inventory, vendor consignment inventory, purchase orders, and submitted consults to maintain accurate records and appropriate stock levels.
• Coordinate with clinical, logistics, prosthetics, purchasing, and vendor partners to ensure implants are available, reordered or replaced as needed, and appropriately billed or paid for after use.
• Assist clinical services with developing, maintaining, and completing requirements and documentation for implant consignment agreements.
• Identify and report concerns involving consigned inventory-including expired products, inadequate stock levels, missing documentation, vendor performance issues, or noncompliant inventory practices-to the assigned Contracting Officer's Representative (COR).
• Ensure biological implants are stored, tracked, and continuously monitored according to manufacturer instructions, infection-control practices, and applicable VHA policy requirements.
• Monitor PSAS consult processing to support timely procurement, replacement, payment, and delivery of implants required for scheduled or completed procedures.
• Ensure prosthetic post-procedure surgical implant consults are submitted within two business days and include the procedure date, reorder or bill-only status, vendor, complete implant description and use, model/reference/catalog number, serial and lot numbers when available, and quantity used.
• Coordinate with SCM inventory managers, PSAS purchasing agents, nurse managers, surgical teams, procedural-area schedulers, and sales representatives to plan and manage timely implant deliveries.
• Partner with surgical, procedural, specialty-clinic, SPS, logistics, and ancillary staff to review upcoming cases; ensure the correct implants are available before surgery; support financial stewardship; maintain productivity and quality reports; uphold confidentiality and safety standards; and provide culturally competent, evidence-based care.
