Title - Administrative Specialist - Licensing & Compliance

Location: Nashville, TN (Hybrid)

Employment type: 9 Months of contract with Possible Extension

About the Role

We are seeking an Administrative Specialistfor Licensing & Complianceto support regulatory board administration, working under general supervision and handle moderately complex licensing and board-support activities that help carry out statutes and mandates.

Key Responsibilities

• Review license applications, permits, and certifications for status, completeness, accuracy, and eligibility under policy, procedures, and law
• Recommend acceptance or rejection of applications in line with applicable laws, rules, and regulations, and forward recommendations to a supervisor for approval
• Make determinations on reciprocity and renewal requests
• Evaluate licensing certificates, registrations, and other statements of authority
• Ensure licenses and reports are completed accurately and that mandates are implemented as assigned
• Issue licenses, certificates, and registrations
• Enter and update data from multiple sources in databases, and match payments to licensee records
• Maintain license payment records and account for fees, including refunds and returned checks
• Prepare and coordinate reports for board submission
• Respond to applicant and public inquiries, handle complaints, and explain policies, procedures, and laws
• Coordinate board and commission meetings, examination scheduling, and applicant notifications of exam or interview details and results
• Communicate case status and any deviations from standard procedures to supervisors, directors, or attorneys
• Monitor case statuses and as needed, review investigations or monitor applicants xhyhwjd during examinations

What We're Looking For

• Experience in licensing, regulatory, or administrative support, ideally in a government or board setting
• Strong attention to detail and accuracy
• Solid data entry and database skills
• Clear written and verbal communication and good customer service
• Ability to interpret and explain policies, procedures, and regulations
• Good organization and the ability to manage scheduling and multiple priorities
