CORPORATE REAL ESTATE AND FACILITIES MANAGER

Position Summary: The Corporate Real Estate Manager serves as Continental General’s owner’s representative for its real estate portfolio, which consists of multiple properties in the Austin area and others outside of Austin, as assigned. Continental General currently partners with a third-party property management company who handles day-to-day facility operations, maintenance, and on-site vendor coordination. The Corporate Real Estate Manager will be the single, primary point of contact between Continental General and the property management company, leading all communication, direction, escalation, and approvals related to the properties. This individual will also lead renovation and facilities management efforts, while holding the property management company accountable for performance and financial results, leading lease negotiations, and representing the company’s interests in all major property decisions. Key Responsibilities: Property Management Company Oversight Serve as the sole point of contact between Continental General and the contracted property management company for all matters involving company-owned buildings. Direct and hold the property management company accountable to the terms of its management agreement, including scope of work, service levels, and reporting requirements. Review and approve (or escalate for approval) work orders, maintenance plans, and capital project recommendations submitted by the property manager. Conduct regular performance reviews of the property management company; address service gaps and lead any RFP/re-bid process if the relationship needs to change. Act as the internal escalation point for issues the property manager cannot resolve, including tenant complaints, emergencies, and vendor disputes. Ensure the property manager maintains compliance with building codes, ADA requirements, fire/life-safety regulations, and environmental standards, and independently verify high-priority items. Facilities Management Oversee facilities management activities across the company’s owned properties, managing a team and using the property management company as the primary resource for day-to-day operations. Establish priorities and provide direction on maintenance, repairs, building improvements, and facility-related issues to ensure properties remain safe, functional, and well maintained. Monitor preventive maintenance programs, building systems, life-safety requirements, and other critical facility needs; independently verify completion of high-priority items. Lead renovation, improvement, and capital projects from planning through completion, coordinating with the property management company, contractors, and internal stakeholders. Respond to escalated facility issues and emergencies, providing direction and ensuring timely resolution while minimizing disruption to company operations and tenants. Conduct periodic property inspections to assess building conditions, identify deferred maintenance, and develop recommendations for repairs, improvements, and long-term capital needs. Ensure facilities support the company’s operational needs, including workplace functionality, safety, security, accessibility, and overall employee and tenant experience. Own the annual operating and capital budgets for each property, incorporating input and cost estimates from the property management company. Review and validate the property manager’s financial reporting, including operating statements, CAM reconciliations, and net operating income, before it goes to leadership. Approve invoices, contracts, and expenditures above the property manager’s delegated authority; identify cost‑saving opportunities across the portfolio. Oversee insurance renewal, property tax review/appeal, and reserve fund planning, coordinating with the property manager and outside advisors as needed. Prepare financial forecasts, variance analysis, and capital planning recommendations for senior leadership. Leasing & Lease Negotiations Lead leasing activity for company-owned properties, including tenant prospecting strategy, deal terms, and lease execution — the property manager may support with market data, tours, and administrative coordination, but negotiation authority sits with this role. President’s approval is required for all final decisions. Negotiate lease terms, renewals, expansions, and terminations to optimize occupancy, rental income, and long‑term asset value. Own lease administration oversight, ensuring the property manager accurately tracks key dates, rent escalations, options, and tenant obligations. Coordinate with legal counsel on lease documentation, amendments, and dispute resolution. Build and maintain direct relationships with key tenants to support retention, independent of the property manager relationship. Approve major vendor and contractor selections made by the property management company for the portfolio (e.g., roofing, capital repairs, security). Directly source and manage professional service providers outside the property manager’s scope, such as legal counsel, appraisers, and insurance brokers. Monitor the property manager’s vendor performance and competitive bidding practices for major contracts. Strategic Planning & Reporting Maintain accurate portfolio records and documentation for audits, appraisals, and due diligence, sourced from and verified against the property manager’s reporting. Identify and mitigate property-related risks, partnering with Risk Management and Legal as needed Prepare periodic reports and presentations for senior leadership on portfolio performance, the property management relationship, projects, and risks. Recommend acquisition, disposition, or repositioning strategies for the portfolio as opportunities arise. Requirements Experience & Skills Qualifications: Education & Experience Bachelor’s degree in Real Estate, Business Administration, Facilities Management, or a related field, or equivalent combination of education and experience. 5+ years of progressive experience in commercial real estate asset management, ownership representation, or property management, including direct responsibility for financials and leasing. Experience overseeing or partnering closely with a third-party property management company, including holding vendors/partners accountable to a management agreement and service levels. Demonstrated experience negotiating commercial leases. Certifications (Preferred) Certified Property Manager (CPM), Certified Commercial Investment Member (CCIM), or similar industry credential preferred but not required. Strong financial acumen, including budgeting, forecasting, and CAM/expense reconciliation. Skilled negotiator with experience structuring and closing lease agreements. Comfortable directing and holding accountable an outside property management company rather than performing all facility work hands-on. However, be able to handled independently when urgent needs are identified, Working knowledge of building systems, maintenance practices, and applicable building/safety codes sufficient to evaluate the property manager’s recommendations. Excellent vendor/contract management, relationship management, and organizational skills. Strong written and verbal communication skills; comfortable presenting to senior leadership and serving as the face of the company to an external partner. Proficiency with property management, maintenance tracking, and standard office/financial software. Ability to travel to company-owned properties periodically and respond to escalated after-hours facility issues. Work Environment & Physical Requirements Work is performed primarily in a standard office environment, with periodic on-site visits to company-owned properties for inspections, meetings with the property management company, and oversight of capital projects. Occasional lifting (up to 25 lbs), climbing stairs during site visits, and local travel between properties are required. Some after-hours availability may be needed to respond to escalated facility emergencies. Why Join Us?
