Strong computer skills are essential, including comfort with Microsoft Office (especially Excel), email, and everyday office technology such as printers, scanners, and document management. Responsibilities

·       Answer incoming phone calls and provide friendly, professional customer service 
·       Schedule and log requests for service, quotes, and out-of-water calls 
·       Document customer concerns, service issues, and complaints for prompt follow-up 
·       Screen vendor calls, solicitations, and general office inquiries 
·       Assist with general office administration and daily operations 
·       Process weekly payroll 
·       Manage Accounts Payable and perform QuickBooks reconciliation 
·       Ensure vendor invoices are processed accurately and timely 
·       Track outstanding purchase orders and expected invoices 
·       Verify invoices against received materials and completed services to ensure billing accuracy 
·       Audit company Ramp Card transactions and ensure receipts are submitted in accordance with company policy 
·       Audit completed work orders to ensure all services are properly invoiced 
·       Assist with permitting processes and permit tracking 
·       Review BuildOps records to ensure photos, project documentation, and required uploads are complete and accurate 
·       Maintain organized digital and physical filing systems 
·       Assist management with special projects and process improvements 
·       Maintain accurate records and support continuous improvement initiatives 
·       Collaborate with office and field staff to ensure smooth communication and efficient workflow 

 
Qualifications

·       Previous customer service or office administration experience required 
·       Experience with Accounts Payable and QuickBooks preferred 
·       Strong organizational and time management skills 
·       Excellent communication and customer service skills 
·       High attention to detail with strong problem-solving abilities 
·       Comfortable learning new software and technology (BuildOps experience is a plus) 
·       Proficient with Microsoft Office (Outlook, Excel, Word) 
·       Ability to prioritize multiple tasks in a fast-paced environment 
·       Professional, dependable, and team-oriented
