Registration Specialist: Same Day Surgery/PACU

Performs a variety of administrative and clerical duties to manage patient registration and financial obligations. Minimum Qualifications High school graduate or equivalent. State criminal background check and Federal check (if applicable) as required for regulated areas. Core Job Duties and Responsibilities Obtain demographic, billing, and insurance information from patients, families, or legal guardians, enter data into registration and billing systems, and scan insurance cards and photo identification. Provide patients with information regarding insurance coverage, payment of bills, and hospital procedures. Complete managed‑care requirements for pre‑certification and authorizations. Prepare WVU Medicine standard consent forms, notice of privacy practice, and other necessary paperwork; obtain electronic signatures for consent to treat and financial obligations. Collect deposits, co‑payments, deductibles, and patient liability payments; issue receipts and document payments in registration/billing systems. Prepare patient armbands and verify identification. Balance daily receipts and the cash drawer for patient payments as needed. Follow up on accounts flagged by the system. Initiate screenings and gather pertinent coverage information; complete appropriate paperwork. Conduct medical necessity checks and complete Advanced Beneficiary Notices as required. Schedule, reschedule, or cancel patients following hospital workflows. Verify order completeness and validate orders against scheduled services. Physical Requirements Frequent walking, standing, stooping, kneeling, reaching, pushing, pulling, lifting, and grasping. Normal visual acuity. Manual dexterity to use keyboards, fax machines, telephones, and other business equipment. Sitting and/or standing for extended periods. Reading and comprehension ability. Working Environment High volume, fast‑paced environment. Exposure to communicable disease. Frequent interaction with patients, medical staff, and support staff. Skills and Abilities Accurate use of applicable computer software and equipment for processing and ability to follow downtime procedures. Knowledge of procedures to report and document unsafe or hazardous conditions, incidents, and defective equipment in compliance with hospital policy. Attention to detail, organization, and multitasking ability. Memorization of substantial information and reference to written sources or personnel when needed. Understanding of medical insurance requirements for payment and basic knowledge of covered services. Excellent written and verbal communication skills. Basic knowledge of medical terminology. Schedule Monday‑Friday 2:00PM – 6:00PM (20 scheduled weekly hours, day shift).
