About Handcrafted Wines:

Handcrafted Wines is a growing wine and spirits distributor serving customers throughout Kansas and Missouri. As our business continues to grow, we are looking for an organized, dependable, and detail-oriented individual to join our Operations team in Lenexa.

The Accounts Receivable & Sales Support Coordinator will play an important role in our day-to-day operations by managing customer payments and receivables while also providing support to our sales team and assisting with general office needs.

Position Summary:

The Accounts Receivable & Sales Support Coordinator is responsible for the daily processing and management of customer payments, monitoring outstanding receivables, collecting supplier billbacks, and providing administrative support to our sales and operations teams.

This is a hands-on position that works with multiple areas of the company. The ideal candidate is comfortable working with numbers, communicating with customers and coworkers, staying organized, and handling the variety of requests that come with working in a growing business.

Key Responsibilities:

Accounts Receivable:

• Process and apply daily customer payments accurately and timely.
• Maintain accurate customer account and payment records.
• Monitor outstanding receivables and follow up on past-due customer accounts.
• Research and resolve payment discrepancies and account questions.
• Assist with maintaining accurate customer account information.
• Collect, track, and reconcile supplier billbacks and chargebacks.
• Coordinate supplier credits and deductions with Accounts Payable.
• Maintain supporting documentation for customer and supplier receivables.

Sales & Customer Support:

• Serve as a primary back-office resource for our sales representatives.
• Process invoice corrections, customer credits, and account adjustments.
• Assist sales representatives with customer account questions and day-to-day requests.
• Help resolve customer billing and account issues.
• Communicate with customers, sales representatives, and other departments to resolve issues efficiently.

General Office Support:

• Answer and route incoming phone calls and general inquiries.
• Assist with document preparation, recordkeeping, filing, and other routine office functions.
• Help maintain an organized and professional office environment.
• Provide general administrative support to Operations and other departments as needed.
• Assist with special projects and other administrative assignments as needed.

What We're Looking For:

• Previous experience in accounts receivable, accounting support, office administration, sales support, alcohol distribution or a similar role preferred.
• Strong attention to detail and accuracy.
• Comfortable working with numbers and financial information.
• Strong organizational and time-management skills.
• Professional written and verbal communication skills.
• Comfortable communicating with customers and coworkers by phone and email.
• Ability to manage multiple priorities in a fast-paced environment.
• Proficiency with Microsoft Excel and Google Workspace (Gmail, Google Drive, Google Docs, and Google Sheets).
• Experience with accounting, ERP, or distribution software is a plus.
• Wine, spirits, beverage, wholesale, or distribution experience is a plus, but not required.

You don't need to be an accountant to be successful in this position. We're looking for someone who enjoys keeping things organized, follows through on details, communicates well, and isn't afraid to jump in and help when something needs to get done.

Because this position supports several parts of our operation, no two days will be exactly the same. Someone who enjoys variety, takes ownership of their work, and likes being a reliable resource for others will fit well in this role.

Compensation:

$50,000–$55,000 per year , depending on experience.

Benefits are available in accordance with Handcrafted Wines' current employee benefit programs.

Schedule: Full-Time, Monday–Friday
