Location Main Street,Sewell, NJ, 08080,United States Base Pay $50,000.00 - $75,000.00 / Year Employee Type Full Time Required Degree 4 Year Degree Travel 40% Description The Intake & Admissions Specialist is responsible for helping prospective individuals, families, referral sources, and other stakeholders navigate the intake and admissions process from initial inquiry through successful service start. This is not a purely administrative role. The ideal candidate will combine strong organizational and follow-through skills with the confidence, communication ability, and relationship-building mentality of a salesperson. This person must be comfortable speaking with families, professionals, and referral sources, explaining services, answering questions, providing reassurance, coordinating complex admission requirements, and helping prospective individuals feel confident in choosing our organization as their provider. The Intake & Admissions Specialist will work closely with the Business Development & Admissions team, Operations, clinical staff, families, support coordinators, insurance companies, and other stakeholders. Responsibilities and admission requirements will vary depending on the service line. What We Are Looking For Successful candidates will be outgoing, proactive, organized, persistent, and comfortable taking ownership of an admission from beginning to end. This position requires someone who can confidently walk into a meeting, lead a conversation, give a tour, speak with a concerned parent, follow up with a referral source, chase down missing paperwork, coordinate with internal departments, and keep the process moving. Candidates who are naturally hesitant to initiate conversations, uncomfortable speaking with new people, or prefer a primarily behind-the-scenes administrative position are unlikely to be successful in this role. We are looking for someone who understands that admissions is both a technical process and a relationship-building process. The right candidate will make prospective individuals and families feel welcomed, informed, comfortable, and confident that they are in capable hands. Requirements Required Qualifications Bachelor’s degree in human services, psychology, social work, behavioral health, healthcare administration, or a related human services field. Excellent verbal and written communication skills. Strong interpersonal skills and the ability to quickly establish rapport and trust. Confident and comfortable communicating with families, professionals, executives, clinicians, and referral sources. Strong customer-service and sales mentality, with the ability to present services enthusiastically and confidently. Comfortable initiating conversations, asking questions, addressing concerns, and helping people make decisions. Highly organized with strong attention to detail and follow-through. Ability to coordinate multiple prospective admissions simultaneously and manage competing deadlines. Comfortable working independently while coordinating across multiple departments. Proficiency with email, Microsoft Office, CRM systems, and other business technology. Preferred Qualifications Previous experience in intake, admissions, business development, case management, healthcare, behavioral health, or human services. Experience working with individuals with intellectual and developmental disabilities. Experience within Applied Behavior Analysis (ABA), autism services, behavioral health, or developmental disability services. Familiarity with Medicaid, managed care, insurance verification, service authorizations, or healthcare funding systems. Experience working with families, support coordinators, case managers, or other referral professionals. Summary Key Responsibilities Manage prospective clients and referrals through the intake and admissions process from initial contact through admission or service start. Respond promptly and professionally to incoming phone calls, emails, referrals, and inquiries. Develop relationships with prospective individuals, families, referral sources, support coordinators, case managers, and other stakeholders. Explain available services, admission criteria, program expectations, and next steps in a clear and confident manner. Provide prospective individuals and families with reassurance and guidance throughout what can often be a complicated or stressful decision-making process. Conduct tours of residential, day, clinical, and other program locations as appropriate. Coordinate and participate in technical admission meetings involving families, clinical teams, operations staff, referral sources, and other stakeholders. Collect, review, and track required admission documentation. Coordinate paperwork, assessments, authorizations, medical documentation, funding information, and other admission requirements based on the applicable service line. Complete or coordinate insurance eligibility and benefits verification when required. Identify missing documentation or barriers that could delay admission and proactively work with stakeholders to resolve them. Maintain consistent follow-up with prospective clients and referral sources throughout the admissions process. Ensure timely communication between Business Development, Admissions, Operations, clinical teams, and other departments involved in determining whether a referral can be accepted. Maintain accurate and current information within the organization's CRM, referral tracking, and admissions systems. Help move prospective clients through the admissions pipeline while maintaining an excellent customer experience. Identify opportunities to appropriately connect individuals and families with additional organizational services based on their needs. Represent the organization professionally during tours, meetings, community interactions, and referral-source communications.
