My Office Apps, Inc., developer of Kechie ERP, is seeking a highly organized, detail-oriented , and personable Client Success & Project Coordinator to join our team.

This is a hands-on, client-facing role responsible for helping ensure a smooth client experience from onboarding through implementation and ongoing support. You will communicate regularly with clients, coordinate activities between clients and our internal teams, track project details and deadlines, and make sure action items and follow-ups are completed accurately and on time.

The position will also assist with follow-up on warm sales opportunities after demos, proposals, and other interactions.

Key Responsibilities

Client Success & Onboarding

• Coordinate new client onboarding and implementation activities
• Serve as a consistent point of contact for clients throughout onboarding and implementation
• Maintain regular communication with clients regarding project status, upcoming activities, and next steps
• Schedule kickoff meetings, training sessions, project meetings, and follow-up calls
• Follow up on outstanding client information, data, testing, approvals, and action items
• Help coordinate user training and user acceptance testing
• Conduct client check-ins and help maintain strong ongoing relationships
• Identify client concerns and coordinate with the appropriate internal team to ensure they are addressed
• Help transition clients from implementation to ongoing support

Project Coordination & Tracking

• Track multiple client projects, timelines, milestones, deliverables, and outstanding tasks
• Maintain detailed and accurate project trackers and spreadsheets
• Coordinate activities between clients, implementation, engineering, support, and management
• Document meetings, decisions, responsibilities, deadlines, and next steps
• Follow up with clients and internal team members to keep projects moving
• Identify potential delays, missing information, or incomplete tasks before they impact the project
• Maintain accurate and organized client and project records
• Review information carefully for accuracy and completeness

Lead & Sales Support

• Follow up with warm leads and prospects after demos, meetings, and proposals
• Check in with prospects who have received proposals, recordings, or requested information
• Re-engage appropriate existing leads in the CRM
• Schedule follow-up calls and demos for the sales team
• Maintain accurate CRM notes, activities, and lead statuses
• Help ensure active opportunities receive consistent and timely follow-up

This is not a cold-calling or quota-driven sales position. The sales component is focused on professional follow-up with existing prospects and helping ensure opportunities do not fall through the cracks.

Qualifications

• 2+ years of experience in client success, project coordination, account management, software onboarding, customer service, or a related client-facing role
• Exceptional attention to detail and accuracy
• Strong Microsoft Excel skills , including working confidently with spreadsheets, sorting and filtering data, formulas, formatting, and maintaining organized tracking sheets
• Strong overall Microsoft Office skills , including Outlook, Word, and Teams
• Excellent written and verbal communication skills
• Professional and confident communicating with clients by phone, email, and video
• Strong organizational, time-management, and follow-up skills
• Ability to manage multiple projects, deadlines, and priorities simultaneously
• Ability to maintain accurate records and documentation
• Strong sense of ownership and accountability
• Comfortable working with both clients and technical team members
• Comfortable picking up the phone and following up with clients and prospects
• Ability to learn new software and processes quickly

Experience with SaaS, ERP, CRM, inventory, accounting, manufacturing, or distribution software is helpful but not required.

The Person We're Looking For

You are extremely detail-oriented and notice when something is missing, incomplete, or doesn't look right. You enjoy keeping information organized and accurate and are comfortable working extensively in Excel and other Microsoft Office applications.

You are also a strong communicator who enjoys working with clients. You follow through, keep track of commitments, and don't need to be reminded to follow up on outstanding items.

You should be equally comfortable communicating with a client, updating a detailed project tracker, coordinating with an internal team member, and following up with a prospect after a demo.
