Supervision Coordinator – Limited Term The Supervision Coordinator supports and coordinates the Elementary program in the Department of Educational Theory and Practice (ETAP) with a focus on university supervision and clinical practice. The role ensures effective onboarding, assignment, support, and evaluation of university supervisors while maintaining compliance with ETAP, COE, and GAPSC guidance, and manages program documentation, systems, and partnerships to support high‑quality supervision experiences for teacher candidates. Minimum Qualifications Bachelor’s degree in a related field or equivalent and 2 years of professional experience. Knowledge, Skills, Abilities and/or Competencies Strong knowledge of academic program coordination, clinical practice, and supervision models. Ability to interpret and apply institutional, Elementary program, ETAP, COE, and GAPSC policies and guidance. Strong organizational skills with attention to detail and documentation accuracy. Effective communication and relationship‑building skills with faculty, supervisors, students, and external partners. Proficiency with data management systems, CRM tools, and collaboration platforms (e.g., SmartSheets). Ability to manage multiple priorities, meet deadlines, and support continuous improvement. Program Planning, Coordination, and Assessment Plan, coordinate, and support academic and supervision‑related programs in alignment with the ETAP and the Elementary program goals and priorities. Develop and maintain program calendars, timelines, and documentation to ensure consistent implementation. Create and manage program materials, procedures, and guidance for university supervisors and related stakeholders. Monitor program performance, assess outcomes, and recommend adjustments to improve effectiveness and consistency. Utilize CRM systems, SmartSheets, or other platforms to organize data, track participation, and facilitate communication and outreach. University Supervisor Coordination and Support Collaborate with the ETAP Department Head, Elementary Program Coordinator, and COE Office of Clinical Practice (OCP) to onboard qualified university supervisors in accordance with ETAP, COE and GAPSC guidance. Assign, support, and evaluate university supervisor roles and responsibilities, including doctoral students and part‑time supervisors. Maintain accurate and current records with the Office of Clinical Practice identifying university supervisor and teacher candidate pairings. Meet regularly with university supervisors to discuss teacher candidate progress, site‑specific needs, feedback practices, mentor teacher collaboration, and supervision structures. Provide ongoing formative feedback to university supervisors to support professional growth and effective supervision practices. Clinical Practice Oversight and Documentation Support university supervisors working with job‑embedded teacher candidates to ensure consistent, high‑quality supervision experiences. Monitor supervision documentation and Candidate Support Team records within SmartSheets to ensure compliance, consistency, and required participation. Ensure supervisors have active systems in place to distribute, collect, and retain required permission and consent forms. Support and maintain university supervisor documentation of observations using approved platforms and tools. Policy Communication and Systems Management Communicate and support implementation of COE video and observation policies (e.g., GoReact or other approved platforms). Ensure supervisors understand and consistently use required systems and processes. Monitor supervisor logs and system usage to ensure timely, accurate, and consistent documentation. Collaboration, Outreach, and Relationship Building Work collaboratively with internal partners, including OCP, to coordinate supports such as resources, readings, speakers, or professional learning opportunities. Conduct site visits and observations, as appropriate, to support active placements and build relationships that inform future placements and collaborations. Support community and partner engagement efforts related to supervision and clinical practice. Recognition and Special Initiatives Assist the Program Coordinator in identifying and selecting the Outstanding University Supervisor for annual recognition. Support special events or initiatives that highlight program success and strengthen community and institutional partnerships.
